Wedding Transportation FAQs

When Do You Need Wedding Transportation?

There are several factors to consider before deciding what’s necessary for your big day. Of course, your budget will be a significant factor, but other considerations include distance, location, and special needs. For example, if your ceremony and reception are close together, you don’t need to provide transportation. But if they’re more than 30 minutes apart, arranging transportation for your guests is a good idea to avoid rideshare charges or long drives.

You’ll also want to consider the location of your wedding, especially if guests are traveling from out of town. You also want to ensure that the venue is accessible for guests with disabilities by arranging transportation for those who may struggle to transport themselves. Ultimately, it’s essential to assess your circumstances and budget to decide on the appropriate level of wedding transportation.

Who Needs Wedding Transportation?

Naturally, arranging transportation for you and your partner to get to and from the wedding ceremony and reception locations is important. But don’t forget about your wedding party! Consider hiring a smaller vehicle to transport your party if they are getting ready at a different location. This way, you can avoid seeing each other before the ceremony, and the party can arrive in shifts, all while staying on schedule.

Another fun trend is to have the couple ride in a large limo or party bus with their wedding party, celebrating ahead of time and taking some stress off the couple by ensuring everyone arrives at the same time. Also, providing transportation for all guests, especially those from out of town, is a nice touch if your budget allows it.

What Is The Average Cost Of Wedding Transportation?

The cost can vary greatly depending on various factors, such as the type and number of vehicles needed, the distance between venues, and the location of the wedding. On average, couples can expect to spend between $500 and $1,000 on wedding transportation. This cost can increase significantly if guests need additional transportation or if you choose luxury vehicles like limousines or party buses.

Once you have determined your needs, contact rental companies in your area for pricing and availability. These companies typically charge hourly and require a minimum booking time of around three hours. When calculating the cost, you should factor in the pickup time to the reception’s end. It’s also common for the contract to include a 15% to 20% tip.

When Should I Book?

It’s essential to prioritize booking your wedding transportation well in advance. Waiting until the last minute can lead to issues and setbacks during the planning process. We recommend booking early to secure your preferred vehicle and staff because they may have limited availability even in larger cities. It’s also crucial to inquire about the minimum hours required and remember transportation for the after-party. Don’t assume that rideshares will be readily available late at night, particularly at venues far from major cities.

When To Schedule Pick-Up And Drop-Off Times?

When scheduling wedding transportation pick-up and drop-off times, punctuality is crucial. Start by considering the time it takes to travel between locations and any potential traffic or construction delays. We recommend having your transportation arrive at least 15 minutes before the designated pick-up time to avoid any last-minute hiccups.

As for drop-off times, plan for your guests to arrive at the reception venue about 30 minutes before the ceremony begins. For the night’s end, consider how long the reception will last and if any guests require transportation back to their accommodations. It’s always better to schedule extra time to avoid any hiccups.

Wedding Transportation Booking Tips

Ask Your Friends For Recommendations

Asking your friends and family can be a great place to start. They may have used a company in the past and can provide valuable insights into their experience. You can also ask your wedding vendors if they have any recommendations or if they work with any preferred transportation companies. Researching and gathering suggestions early on can help you make an informed decision and ensure a smooth and stress-free transportation experience on your wedding day.

Make Sure you Ask The Important Questions

You need to ask important questions to ensure there are no surprises or unexpected costs. Be sure to inquire about tipping, gas, mileage, and any other additional fees that may not be included in the initial quote. By asking these questions upfront, you can avoid misunderstandings and clearly understand the total cost of transportation.

Get Multiple Quotes From Multiple Companies Early On

Compare prices and services to fit your needs and budget best. Getting quotes early will also give you more time to negotiate and adjust your transportation plans. Don’t be afraid to ask for discounts or package deals, especially if booking multiple vehicles or services with the same company.

Have A Contingency Plan

A contingency plan is essential for any event, and weddings are no exception. This could mean having a backup vehicle or driver on standby or arranging for a rideshare service as a backup. You can even have a designated family member or friend with a car ready to step in if needed.

Consider Investing In Wedding Insurance

Wedding insurance can provide peace of mind when booking your wedding transportation. It covers cancellations, postponements, and vendor no-shows. When investing in wedding insurance, read the policy carefully and understand what is and isn’t covered. Different insurance companies offer different coverage levels, so choosing one that meets your needs and budget is essential.

Other Things To Consider When Making A Wedding Transportation Plan

Keep Parking In Mind

Parking can be a real challenge if your wedding venue is in a busy or downtown area. You may need to arrange parking permits or find a nearby parking lot or garage to accommodate your guests’ vehicles. Consider hiring a valet service to help with parking and ensure a seamless experience for your guests.

You must factor parking fees and valet service into your transportation budget. And if you plan on using a limousine or other large vehicle, make sure the venue has enough space for it to maneuver and park.

Simple Ways To Save Money On Transportation

There are ways to save money while ensuring everyone gets to the venue on time. One option is to consider using a ride-sharing service like Uber or Lyft. These services can be less expensive than traditional limousine or car rental services, and they are also more flexible since guests can request rides when they need them.

If there’s no room in your budget for transportation for your guests, alternative options exist to assist them. You can include information about public transport on your wedding website or in your invitation suite. Include information on taxi pick-up locations, phone numbers for trustworthy local services, and an estimated cost for each option. This way, your guests won’t have to be concerned about having enough money for transportation.

Wedding Transportation Ideas

Limousines

Limousines are a popular choice for wedding transportation, and for a good reason. Limos have spacious and luxurious interiors, accommodating large wedding parties and providing a comfortable and stylish ride. They also offer privacy and security, allowing the newlyweds to relax and enjoy each other’s company while driving to their destination.

However, limousines can be expensive and may only fit some couples’ budgets. They can be challenging to maneuver in some locations, such as small driveways, and may not be suitable for outdoor weddings or places with limited parking.

Vintage Cars

Vintage cars are a classic and elegant option for wedding transportation, adding a touch of old-world charm to the celebration. One of the main advantages of vintage cars is their beauty and character, which can add a romantic and nostalgic atmosphere to the wedding day. They also provide a unique and memorable photo opportunity for the couple and their guests.

The downside of vintage cars is their age and condition may result in maintenance issues or breakdowns. They may also lack the comfort and amenities of modern vehicles, such as air conditioning and seat belts. Finally, vintage cars may only be suitable for some locations or weather conditions, and their limited availability may make it difficult to secure the desired make and model.

Trolleys

Trolleys are a charming and unique option for wedding transportation, providing a nostalgic and whimsical touch to the celebration. One of the great things about trolleys is their open-air design, which can provide a scenic and enjoyable ride for the wedding party and guests. They also offer a spacious and comfortable interior, with many featuring plush seating and historic décor. They can also be a practical and convenient way to transport guests between wedding venues, as they can navigate through tight spaces and congested areas.

The downside, however, is that trolleys can be expensive to rent, especially for highly sought-after models or during peak wedding season. They may also have limited availability, making securing the desired trolley on the wedding day difficult. They may not be suitable for all weather conditions, as they may not have air conditioning or heating and can be uncomfortable in extreme heat or cold.

Party Bus

Party buses are a fun and lively option for wedding transportation, providing a festive atmosphere and ample space for large wedding parties. One of the main advantages of party buses is their entertainment and amenities, which can include features such as a sound system, flat-screen TVs, and a bar area. They also offer a convenient and hassle-free way to transport guests between the wedding ceremony and reception, eliminating the need for multiple vehicles.

Their size and bulk may make navigating through narrow streets or small driveways challenging. They may also be unsuitable for formal or traditional weddings, as their party-centric atmosphere may not match the event’s tone. Additionally, the loud music and rowdy behavior associated with party buses may not suit all guests, particularly guests with sensitivities.

Vintage Trucks

Vintage trucks are a rustic and charming option that can add a unique touch to your celebration. They also offer a spacious and practical way to transport large wedding parties or décor items, such as flowers or furniture. And not only that, vintage trucks can provide a beautiful and Instagram-worthy photo opportunity for you and your guests.

But vintage trucks can be difficult to find and rent, as they may not be as widely available as other options. They may also lack the comfort and amenities of modern vehicles, such as air conditioning and power windows. Finally, vintage trucks may not be suitable for all weather conditions or locations. They may not have adequate protection from rain or wind, and they may be challenging to maneuver through narrow or uneven terrain.

Boat Or Ferry

Having a boat or ferry as wedding transport can offer unique and memorable experiences for the couple and their guests. Imagine enjoying the stunning views and scenic surroundings from the water. The transportation itself can add to the overall ambiance of the wedding, creating a festive and celebratory atmosphere.

There are also some potential drawbacks to consider. Boat or ferry transport may limit the number of guests who can attend the wedding, as there may be space constraints on the vessel. It may also be more expensive than traditional forms of transportation and may require additional planning and coordination to ensure smooth sailing on the big day. And if any guests have motion sickness, a boat or ferry may not be the most suitable option.

Image by Adventure and Vow. See more of this real wedding here.

Helicopter

Helicopters are a unique and exciting option, providing a fast and thrilling way to travel between wedding venues. One of the main advantages of helicopters is their speed and convenience, allowing the wedding party and guests to bypass traffic and congestion on the ground.

They also offer an impressive and luxurious way to arrive at the wedding ceremony or reception, with stunning aerial views of the surrounding area. On top of that, helicopters can provide a memorable and dramatic photo opportunity for the couple and their guests, with breathtaking views of the wedding location.

However, helicopters can be pricey, with high hourly rates and additional fees for landing and takeoff locations. They may also be subject to weather, flight, and noise regulations in certain areas. The noise and turbulence associated with helicopter flights can be uncomfortable or unsettling for some guests, particularly those prone to motion sickness or fear of heights.

Four-Day Outdoor Black Bear Ranch Wedding

March 23, 2023 | kailey

The days of cookie-cutter weddings are long gone, and we’re seeing more and more couples break free from traditional wedding planning expectations. Cash and Izaac are no exception. During their planning process, they had one goal in mind: create a day that fully aligns with who they are as a couple. And with the help of their talented team of vendors, they nailed every detail–from the boho outdoor ceremony to the reception under the stars.

They kicked off their day with sweet “I do’s” in a nearby meadow, surrounded by nature and their loved ones. To spice up the already stunning space, Bloom Theory Studio used spring florals to create an asymmetrical ceremony backdrop that beautifully framed the distant mountain views. While these touching moments sound hard to top, their Black Bear Ranch reception might just do it. Guests were greeted by long banquet-style tables dressed in neutral decor, a cocktail cart, and “Love is a human right” signage—just to name a few of our favorites.

From the grooms’ fashion-forward attire to the incredible four-day itinerary, photographer Emily Klarer captured all the inspo-rich details that’ll influence couples to start planning with a purpose.

The Couple:

Cash and Izaac

The Wedding:

Black Bear Ranch, Ketchum, Idaho

Kicking Off Their Black Bear Ranch Wedding With A Lake Day

Our wedding was four days of pure perfection, and almost everything was what we had hoped for. In lieu of a rehearsal dinner, we opted for a day at one of Izaac’s favorite places, Redfish Lake—a crystal clear lake high up in the Sawtooth Mountains. We rented school buses to transport guests to the lake for a day of paddle boarding, lawn games on the beach, Aperol spritzes, and an amazing lunch.

A Reception Dinner Much Like The Ones They Enjoy At Home In New York

When planning the wedding, we decided to forgo many traditions that didn’t resonate with us, including our wedding day timeline. We love hosting dinner parties at our apartment in Brooklyn, so we wanted to model our special day to feel like a larger version of one of the intimate dinners we host with friends. Because of this, we were most excited about planning the welcome dinner, lake day, and reception.

Sometimes Friends Make The Perfect Officiants

We asked Cash’s best friend, Katie, to officiate, and she took on the task of secretly making the ceremony the most memorable part of the day. To compose a personalized ceremony, she reached out to our closest friends and family members asking them what made us so special as a couple. Surrounded by our favorite people, Katie used her superior wordsmithing to bring us all to tears as she described how we found each other and built our life together, and recited quotes she had received from our friends and families.

Advice: Book Your Vendors Early To Save Money

Start early and book your vendors as soon as possible, especially if you’re getting married in a rural or remote destination where there is a limited number of local vendors. Almost all of our vendors and rentals came from 2+ hours away, and in some instances, we had to piece together rental orders from multiple companies to get the quantities we needed. The additional fees for long-distance delivery and the cost of lodging for the vendors who had come in from out of town added significant expenses that we had not planned for.

How To Plan A Bachelor Party

February 23, 2023 | riley

Spending one last weekend with some of your best friends is one of the best ways to celebrate becoming a married man. As you get older, you may find it hard to get everyone together the way you used to when you were younger. That’s why hosting a bachelor party the groom will remember for the rest of his life is an absolute must before the big day.

We understand that there are a lot of moving parts that go into planning one, though. From figuring out who does all of the planning to choosing a date and organizing activities, it can be stressful. Especially if you’re not used to planning big events like this. That’s why we’re breaking down everything you need to know to plan the bachelor party of a lifetime.

Bachelor Party FAQs

Who Plans The Bachelor Party?

Unlike planning a bachelorette party, there’s not typically one specific person who does most of the bachelor party planning. In fact, according to a study done by The Knot, it was found that 41% of those studied had their friends plan it, while 39% said that the best man took on the planning. If you’re the best man, don’t need to hesitate to reach out to other friends for help. And if you’re the groom, there’s nothing wrong with hosting your own party, either!

When Do You Host The Party?

The last thing you want is to deal with a killer hangover on your wedding day. That’s why having the bachelor party ahead of time is key. Most parties take place one to three months before the big day. If your partner is having a bachelorette party, it’s wise to plan them over the same weekend. This way, you’re both out of town at the same time and can come together with wild stories to talk about once it’s over.

If you are hosting a party out of town, you’ll want to start planning three to six months before you jet off. This gives you plenty of time to get everyone on the same schedule, purchase all of the decorations, and plan activities.

When’s The Best Time Of Year To Plan A Party?

If the schedule permits, hosting the bachelor party over a holiday weekend allows you to spend more time with your friends and family without running the risk of using your PTO. Some holidays–like Labor Day and Memorial Day–come with incredible weather, too, so you can spend your time by the water if you’re planning on a lake or beach day. Just be mindful that typically hotels and flights cost more over long weekends, and your destination may be a bit busier.

Is The Groom Involved?

As we mentioned earlier, there is no right or wrong answer when it comes to whether or not the groom is involved. You can be as involved or as hands-off as you want. Sometimes they like to be completely surprised, while others enjoy being a big part of the planning. It is their weekend, after all.

Who’s Invited To The Bachelor Party?

The bachelor party should include everyone that matters most to the groom–think groomsmen, best man, and any other close friends they may want there with them. When you begin party planning, reach out to everyone that the groom wants there to give them a heads up. This will help determine who’s interested and help you get a rough estimate of who can attend and who isn’t available.

Do You Need To Send Out Invitations?

Unless you really want to send out invites, feel free to skip them. Doing so saves you time and money. Instead, send out a group chat with all the details (aka date, location, etc.). This allows for a quick conversation and easy access to all the information when needed.

Are Gifts Required?

Just like invitations, gifts are not required for bachelor parties. You may want to bring something small as a token of appreciation for the groom, but it’s not necessary. Not sure what to bring? Great gift ideas include alcohol, cigars, or sports equipment or merch. If gifts aren’t your thing, you can also cover one of the activities during the party, such as dinner out or a round of drinks.

How To Plan A Bachelor Party

Figure Out The Guest List

When figuring out the guest list, include all of the groomsmen and the best man. From there, you can also include any friends that the groom wants in attendance. The most important thing is that whoever tags along should also be invited to the wedding.

Choose A Location And Date

Where you host the bachelor party determines the budget, the attendees, the decor, and the activities. That’s why figuring it out early on is so important. Whether the groom wants to see their favorite team play or wants to get away to Vegas for a weekend full of drinks and gambling, it’s crucial you figure this out before booking lodging and transportation. If it’s a destination party, you may find that some cannot attend for various reasons–such as work or money.

In terms of when it takes place, remember that you can’t please everyone. If the groom and a majority of his groomsmen can make it, that’s all that matters. Of course, you want everyone to be able to make it, but don’t stress yourself out trying to make that happen.

Book Lodging And Transportation

Before you book lodging and transportation, have a final number in mind. This way, you won’t get stuck paying for an Airbnb that’s too expensive and too big for your guest count. Although final numbers may change some, this will prevent any drastic changes that can hurt your wallets.

If you’re planning on traveling for the party, we recommend booking an Airbnb over a hotel. At an Airbnb, everyone can stay together, cook meals together (which helps you save money), and be in one easy-to-reach, central location throughout the weekend. It also makes parking much easier, too.

Plan Activities

Contrary to popular belief, there’s a lot more to do at a bachelor party than drink for a weekend straight. Although we imagine the alcohol is going to be constantly flowing, it’s also vital that you plan some activities. This can include lounging by the pool, going to a concert or comedy club, hanging out at a casino, or a couple of rounds of golf. You want an itinerary that isn’t too structured. That way, you have wiggle room for laying low if you need some time to recover.

Finalize Who’s Coming

Once you have the Airbnb picked out and how everyone is going to arrive at the destination, you can finalize who’s attending. When you’ve made it to this step, you can let everyone know that once they’re confirmed, there is no backing out. This means agreeing to all of the expenses and activities.

The Ultimate Guide to Planning a Backyard Wedding

February 21, 2023 | riley
backyard wedding

Image by Tova Studios. Keep scrolling to get all the info on planning the perfect backyard wedding

A backyard wedding is perfect for couples who want a uniquely sentimental feel, love to be outdoors, or want their dream wedding on a budget. There are so many benefits to a backyard wedding–including cost and convenience–but with those benefits come a few extra details you need to keep in mind and situations you need to plan for.

To keep you on track, we’ve compiled this comprehensive guide with everything you need to know about planning a backyard wedding, from logistics to design.

How much does a backyard wedding cost?

The beauty of a backyard wedding is its flexibility–you can tailor the budget to suit your vision. On average, couples spend anywhere from $5,000 to $15,000, but that number can vary depending on factors like rental costs (tents, tables, chairs), catering, and décor. While you save on venue fees, remember that essentials like landscaping, permits, or a backup plan for bad weather can add to your overall expenses, but we’ll talk about those shortly.

Benefits of a Backyard Wedding

Furry Friends Are Invited

Weddings at home give you the perfect excuse to include your pets in your big day! You don’t need to clear it with a venue or pay a deposit, your furry friend doesn’t need to stress over travel, and they can head back inside when they’re finished partying with your guests.

Money Can Be Saved

When you decide to have a backyard wedding at a family member’s or friend’s home, you automatically slash your wedding budget dramatically because you aren’t paying for a venue, security deposits, per-person fees, and all the other hidden charges that go along with it. You can also save money on decor since you’ll have the natural elements to add visual interest. Yes, you’ll likely need to rent almost everything else, but those rentals will not outweigh the cost of a venue.

Dates Are Flexible

This might seem like a small thing but having complete freedom to choose a date that works best for you and your fiance is actually a huge benefit of a backyard wedding. It’s especially helpful if you want to get married during peak wedding season when venues book up at least a year in advance.

You Can Have An Intimate Guests List

Because a backyard wedding tends to be naturally more intimate than a wedding at a traditional venue, this is the perfect reason to keep your guest list small. If you’re nervous about how your families will react to a small guest list, remind them that space is the main limiting factor in your decision. Unless you’re getting married in the backyard of a multi-acre mansion, there simply won’t be enough space to accommodate a huge guest list. (But, really, you don’t need to feel guilty about your wedding guest list, no matter where you decide to tie the knot.)

Sentimental Factors

There is nothing like saying “I do” in the backyard where you played as a child or getting ready in the room where you grew up. The sentimental factor of a backyard wedding can’t be recreated at any other outdoor wedding venue and shouldn’t be underestimated. You and your guests will feel more comfortable in a space that feels like home and it will be a special memory your family and friends will cherish forever.

Logistics of Backyard Weddings

Power And Electrical

Between the extra lighting, the sound system, and the food prep equipment, you’re going to be using a lot more power than most homes can handle. To ensure you don’t blow a fuse or put the entire neighborhood at risk of an outage, rent generators to accommodate the extra power you’ll need.

After you check with your caterer to find out what equipment they’ll be using and your DJ to find out how much power their setup needs, ask your wedding planner and the generator rental company for help in choosing the power sources that will fit your needs.

Restrooms

If your guest list is larger than 20 people, you will need to provide additional toilet facilities. There are so many options for upscale portable toilet trailers that provide a comfortable experience, including lighting, mirrors, sinks, and–most importantly– more space than traditional port-o-potties. You can even add a personal touch by adding a small amenities kit to each bathroom with breath fresheners, Band-Aids, hand sanitizer, cotton balls, and safety pins.

Trust us, this will save a lot of headaches because you won’t have everyone walking through the house and you won’t have to fix an over-used bathroom system.

Yard Maintenance And Setup

You’ll want to plan yard maintenance in advance to give plants time to fill out, flowers to bloom, and space to be cleared, if necessary. You might even consider hiring a landscaper to take care of all the design and maintenance so it’s one less thing on your to-do list. At the very least, you’ll need to cut the grass a few days before the wedding.

One thing you absolutely can’t forget to check is that the ground is level enough for chairs, tables, and a dance floor. If you’re renting a tent, their professional team will be able to check and let you know if they need to lay a foundation so the dance floor is level. If you’re not renting a tent, a landscaper should be able to check.

Insurance

As much as you don’t want to think about anything bad happening on your special day, it’s better to be safe than sorry if an accident does happen. Contact your homeowner’s insurance to see what is covered, such as property damage inside or outside the house. Then contact your vendors to find out what insurance they carry. You may have to purchase supplemental insurance, but your vendors’ insurance might also provide enough coverage for certain areas–such as bartenders.

Permits

Before you get too far into booking wedding vendors, you must check with your city officials to find out if you need permits to host a large party at your home. There might be noise ordinances, fire codes, health department regulations, and zoning issues that you don’t want to violate.

In some cases, your vendors might need to file additional paperwork, so be sure to include your wedding planner in any meetings with or emails from the city clerk’s office. Your planner should either be able to coordinate with the vendors to file the paperwork themselves (usually for an additional fee) or file the paperwork for you.

Neighbors

A month or two before your wedding, notify your neighbors of your wedding plans. This will give them plenty of time to plan ahead, rearrange any plans, or plan a night away. Give them as many details as possible, such as the exact time of your ceremony–so they know when you’ll need some extra quiet time–and let them know where your guests plan to park in case they have concerns about street parking.

If you’re going to tell your neighbors in person, we recommend also giving them a written schedule so they have all the details for the day of. You could even include a small gift, such as a pair of earplugs, as a token of appreciation for their patience. A little consideration will go a long way in keeping everyone happy.

Parking

When you’re checking on permits, also check the rules for street parking in your neighborhood. Some communities have certain times when street parking is not allowed or even prohibit overnight parking. If that’s the case–or you don’t have enough street parking–consider hiring a valet service to park the cars at a nearby open lot. Just be sure to tell guests ahead of time so they don’t leave valuables in their cars that you could be held liable for.

Clean-Up

This is one of the most important details to keep in mind when planning your space and your rentals. A group of 20+ people will produce a lot of trash over an entire day, so you’ll need to rent plenty of trash and recycling bins to collect it all. Your caterer might even take care of emptying the bins throughout the day, so ask if that’s a service they offer. If not, you might want to designate or hire someone to monitor the bins so they don’t get too full and cause an unpleasant sight or smell.

Available Space

Couples often think that hosting in a backyard will change their guest list dramatically. That’s not always the case. Whether you’re looking to increase your guest count or simply remove the limitations that physical guests can provide, virtual weddings are a good solution. Our friends at Lovecast App have made it seriously easy.

Plan B

Weather happens, so it’s best to have a plan B in case it rains or is unseasonably hot or cold. With enough planning, your plan B can be just as incredible as plan A. If your house is large enough, plan to move the party inside.

If you’d rather stay outdoors, put a hold on a tent early so that it’s ready to be picked up in case you need it. When using the tent, ensure that the sides are completely covered to protect against the rain, bring in small fans to beat the heat, or rent propane heaters to keep your guests warm. The hope is that you don’t have to go to plan B, but it’s best to have a plan in place ahead of time so you’re not scrambling at the last minute.

Backyard Wedding Timeline Suggestions

There are a few things to keep in mind when planning a timeline for a backyard wedding. First, and most importantly, you want to work around the light. Try to avoid having your ceremony during the harshest light to ensure you get beautiful photos.

Second, because guests won’t be traveling between events, you want to ensure there is no downtime. You might consider doing all your photos before the ceremony so you can go straight to cocktails with everyone else. But, if you’d rather wait, you can also plan an activity or set out yard games during cocktail hour to keep them occupied until you finish up.

Lastly, you want to be considerate of your neighbors. You might need to cut your party short–or ask everyone to head out to an after-party at a bar–so you’re not keeping your neighbors awake until the early morning hours.

Backyard Wedding Space Planning Tips

Ceremony

Whether your backyard is small or sprawling, you’ll want to pay particular attention to where you set up your ceremony. Large trees make for the perfect backdrop and provide shade from harsh sunlight. If you want to make the house a focal point, you could set up your ceremony so you, your fiancé, and the officiant are standing on the back porch with all your guests on the lawn, facing you.

Keep in mind that, if you’re getting married in warm months, you’ll want to keep your guests’ chairs out of direct sunlight before the ceremony or, ideally, choose a shaded spot to set up chairs. If you’re getting married in cooler months, you might consider setting up your ceremony in a non-shaded spot so you and your guests can enjoy some natural warmth.

Reception

Tents are perfect for designating a reception space in a backyard and make space planning a breeze. Before you rent a tent, work with your wedding planner to decide how many tables and food/drink serving stations you need and how large your dance floor should be. You don’t want to overcrowd the space and you want to ensure your guests have plenty of space to dance–even if that means you’ll need to move tables/chairs at certain points of the day.

Because your reception will also include food and drink, your caterer and bartender should visit the space so they can let you know what extra equipment they’ll be bringing and how much space they’ll need. If your kitchen isn’t large enough, you might need to set up another food prep area, which is something you’ll need to account for when planning your space.

Backyard Wedding Decor And Design Inspiration

Choosing Your Colors

One of the best parts of having an outdoor wedding is that you have the freedom to choose any color palette you like. You aren’t restricted by a venue’s decor, colors, or style. If you love the earthy feel, draw colors from the flowerbeds, grass, and trees in your backyard. You can also go for a bolder look by adding vibrant pops of color in florals, linens, bridesmaid’s dresses, or accent decor.

If your backyard has distinct architectural elements, choose colors that complement and highlight those unique aspects of the space. If you still need a little help, we highly recommend creating a wedding mood board to help you get a sense of the colors and decor that you tend to lean towards.

Setting the Scene for Your “I Dos”

Your ceremony will be the highlight of your day. After you’ve chosen the perfect location with either a natural or architectural backdrop, you’ll need to decide whether you want to frame the space with an arch or artsy backdrop. We recommend ceremony arches and backdrops for every wedding style because it adds dimension and creates a defined focal point, ideal for wedding photos. We also can’t say enough about aisle markers for adding visual interest without too much fuss.

Styling Your Reception

We’ve already mentioned that a tent is a perfect way to designate a reception space. It gives you a way to hang lights or larger-than-life floral installations, plus it adds texture and depth while providing set boundaries for your tables, dance floor, and serving stations. But, a tent isn’t the only way to go. There is something uniquely romantic about dining under the stars.

If you’d rather keep your backyard wedding reception uncovered, you might want to use tall centerpieces that will take up vertical space and hanging decor in the trees to fill out the design. The benefit of an open reception is that you have more space to spread out tables and serving stations.

Planning the Perfect Cocktail Hour

You might be wondering whether you should plan a cocktail hour since your guests won’t be leaving your backyard between events, and the answer is yes. The cocktail hour is the perfect time for your guests to mingle in a more casual way and allows everyone–including you–to transition from ceremony mode to party mode. If you plan to take couple portraits and wedding party photos after the ceremony, this is also a great way to keep your guests entertained while you’re away.

Lighting Up the Night

Lighting is one of the easiest and most dramatic ways to create a certain mood for your wedding, especially for a backyard wedding where there is little to no built-in lighting sources. Twinkle lights or strings of cafe lights in the trees, lanterns with candles, marquee signs, chandeliers, and clusters of votives are all great ways to add some romance to your look while providing enough light for you and your guests to party safely. If you’re curious about how your photos will look in different lighting, get inspired by the gorgeous ambient light in these wedding photos.

Preparing for Nature And Weather

While you can’t control nature or the weather, you can prepare to keep your guests comfortable in all scenarios. Provide insect repellent and sunscreen for your guests to apply—and re-apply—as needed. Incorporate citronella candles into your decor to keep bugs at bay. Set out blankets if it will be chilly or provide hand-held fans to help guests beat the heat.

If your guests will be sitting in the sun, consider providing sunglasses in case they forget their own. If there is even a slight chance of rain, make sure to have plenty of umbrellas on hand, as well. The bonus is that, if you’re purchasing items that guests will want to keep, they can double as wedding favors.

Rentals Checklist

As with any outdoor event, you’re going to need to rent a lot of items for your backyard wedding. You might end up not renting everything on this list if you decide to use DIY or repurposed decor and furniture, but it’s a great checklist to have handy when you need to double-check that you have everything you need.

Here are the rentals you’ll need for a backyard wedding:

  • Ceremony Chairs
  • Ceremony Decor
  • Tent
  • Reception Chairs
  • Dinner Tables
  • Cocktail Tables
  • Ceremony Backdrop
  • Serving Tables
  • Gifts Table
  • Guest Book Table
  • Dessert Table
  • Bar
  • Place Settings
  • Linens
  • Centerpiece Vases
  • Table Decor
  • Dance Floor
  • Lighting
  • Overhead Decor
  • Photo Booth
  • Food Prep/Storage Equipment
  • Generators
  • Portable Restrooms
  • Trash and recycling bins

How to Make Your Celebration Special

To make your backyard wedding truly special, focus on the details that reflect your personality and style. String lights or lanterns can instantly transform the space into a romantic setting. DIY décor, such as handmade signage or photo displays, adds a personal touch. You can create cozy seating areas with blankets and pillows or bring in a vintage lounge set for a chic vibe. Incorporate local flavors with a food truck or a farm-to-table meal. Don’t forget to provide a memorable guest experience with lawn games, a bonfire, or a DIY cocktail station. With a little creativity, your backyard can become a magical wedding venue!

And that’s it! Now you are ready to plan the backyard wedding of your dreams. Want to make your backyard wedding special to who you are as a couple? Check out our guide on how to host a unique wedding!

Timeless And Low Key Central Park Elopement

February 12, 2023 | justine

For Jason and Dillon, a Central Park elopement was the perfect way to start their new life together. By choosing a simple and low-key celebration, they could focus on the most crucial aspect of their wedding: their love for one another.

Central Park, the iconic oasis in the heart of New York City, played host to the beautiful and meaningful elopement of the two dashing grooms. A hidden gem within the park, a rustic gazebo enveloped in lush ivy was the quaint and romantic setting for their vow exchange. After the big moment, the couple took a stroll through the park and took in the sights and sounds of the bustling city while their photographer followed them.

The memories from this day will be cherished for a lifetime, and the couple will always look back on their elopement as a day filled with joy, love, and a deep sense of connection with each other. So scroll through and discover what happens when you get caught between the moon and New York City. We guarantee you’ll fall in love with these captivating images by Laura Dilliberto.

The Couple:

Jason and Dillon

The Wedding:

Central Park, New York City, New York

The Special Reason Why They Wanted A Central Park Elopement

Since we started dating, we’ve traveled to New York every year to see the Macy’s Day parade. We thought there was no better place to tie the knot than the city we both love and made so many memories in. NYC truly is a magical place. We are proud of forgoing the pressure of family to have a traditional wedding ceremony and choosing to elope instead. This way, we could spend the entire day to ourselves and celebrate our love the way we wanted.

Their Central Park Elopement Fashion Was A True Reflection Of Their Style

We wanted our elopement to be simple and low-key. We wanted to incorporate some traditions, so we both wore classic tuxedos but added a little sparkle by wearing stunning loafers covered in glitter and a jaguar head with crystal-embedded eyes. I work in the funeral industry, so I wanted to incorporate something into my tuxedo that represents a huge part of my life. I had the buttons and cufflinks of my dress shirt replaced with Swarovski crystal skulls.

Hiring An Elopement Planner Was Totally Worth It

The main reason we chose to hire a wedding planner for our elopement was how effortless it would be for us. They took care of setting everything up, allowing us to travel across the country to make this day a reality.

Eloping Allowed Them To Splurge On A Great Photographer

We are both recent graduates, so the budget was a huge factor. We knew we’d save money by eloping, so we spent a little extra on our photographer. The most memorable part of our special day was walking all over the city with our photographer and having total strangers stop us to congratulate us and tell us how great we both looked!

The Wedding Team:

Photography – Laura Diliberto
Event Planning – Simply Eloped
Venue – Summerhouse at the Dene
Officiant – Sarah Ritchie
Grooms’ Apparel – Bonobos + Mens Wearhouse
Grooms’ Accessories – Aldo + Michael Kors
Rings – Tiffany Co.

Congratulations to Jason and Dillon on their timeless and low-key Central Park elopement. And many thanks to Laura Diliberto for capturing this special day they will forever hold in their hearts.

If you choose to elope, you don’t have to worry about meeting other people’s expectations or following traditional wedding rules. You can also avoid the stress and costs that come with big weddings. Instead, you can create a day that fits your needs and wants, just like this couple. And to top it all off, you can focus on what really matters: your love and commitment to each other.

How To Avoid Wedding Debt When Planning Your Big Day

January 27, 2023 | riley

Your best friend asked you to marry them, and now you’re ready to enjoy the bliss of being engaged and planning your wedding. If you’ve never planned a wedding before–and we’re guessing you haven’t–the entire process can feel overwhelming, especially when it comes to finances.

While some couples receive money from their family and friends, we know this isn’t an option for everyone. We also know just how expensive weddings can be. According to The Knot, the average wedding in 2021 was $28,000. That’s far from chump change.

Though the option of taking out loans is there, we understand that many couples want to avoid wedding debt, which can feel virtually impossible. But we’re here to tell you that it’s not! And we’re sharing our best tips to help you stay out of debt while still being able to enjoy the wedding of your dreams.

How To Avoid Wedding Debt

Create A Budget

There are a few steps to take before you can even begin to think about booking your vendors and venue–the first being creating a budget. Take a look at your and your partner’s saving accounts, how much money you can realistically save every month leading up to the big day, and what money (if any) you are receiving from parents or loved ones. This big-picture number will help you stay on track throughout the planning process.

Determine Your Non-Negotiables

As you start planning, you may find there are a few “must-haves” for your big day. This could be a venue you’ve had your eye on, a specific photographer, or an abundance of flowers. Whatever it may be, sit down with your partner and list your top three non-negotiables. This is where most of your budget will likely go. This will also help you cut costs in other areas that are less important to the two of you.

Don’t Forget A Miscellaneous Item Line In Your Budget

When putting together your budget spreadsheet (which we’ve already put together for you), don’t forget to include a line for miscellaneous expenses. There are quite a few unexpected costs, such as alterations, your marriage license, taxes, service fees, and more.

Create A Separate Bank Account

Creating a separate bank account that is used solely for wedding planning allows you to automate your contributions and keep track of your spending. While this may seem like a silly extra step, it can prevent you from overspending. For example, if you are just using money from your regular savings, you may spend more than you intend because the money is in the account. If you create a separate account, you can keep a certain amount in there, and once it’s gone, it’s gone.

We recommend opening a high-yield saving account. This allows you to earn money by just having some in the bank. Although it may not be much, that extra $50 that you make could be what helps you get the florist you fell in love with on Instagram.

Give Yourself A Deadline

The last thing that you want to do is spend years saving up for your wedding. While your wedding is something you may have dreamed about since you were little, it’s also important to remember that it’s just a fancy party. The most important aspect of a wedding is you and your partner promising forever to one another. All of the other details are just an added bonus. That’s why it’s not worth spending years saving for a single night. Of course, you want it to be special, but don’t put it off just because you need to save. Make the deadline realistic.

Discuss Finances Often

We’re firm believers that you should be discussing finances with your partner often during the wedding planning process. If you begin to feel overwhelmed financially, have a date night where you get the focus back on just the two of you. Think about your future dreams together, whether buying a home in the near future, traveling the world, or starting a family. Focusing on saving money and not going into debt for these future aspirations will help you reel it in and remind you why you’re committing to a budget in the first place.

Other Helpful Financial Tips

Get Married On A Friday or Sunday

It should come as no surprise that Saturdays are the most popular day of the week for weddings. They’re also the most expensive. While having a weekday wedding may not be realistic for many, if you’re looking to save a little extra money, consider getting married on a Friday or Sunday. There’s nothing we love more than a Sunday brunch wedding full of delicious breakfast foods and sunshine.

Opt For A Wedding Website

While we recommend sending out physical save-the-dates and invitations to your guests, you can save money by having a wedding website. On the site, you can list all of the details about the rehearsal dinner, your welcome party, and information about the hotel room block you’ve set up, so you don’t have to have this printed on even more cards.

Host An All-Inclusive Destination Wedding

Did you know that destination weddings can actually be cheaper than traditional weddings? Especially if you choose an all-inclusive venue. Depending on the location, you can save thousands of dollars. Doing so also helps you trim down your guest list naturally, which also helps you save money in the long run as well.

Now that you know some tips and tricks to help you avoid wedding debt, it’s time to get serious about your wedding budget. That is the first step, after all. To make planning as seamless as possible, we’ve created a budget guide with everything you need to know. It even comes with a free budget spreadsheet, so you don’t have to make your own!

8 Wedding Trends For 2023

December 11, 2022 | riley

And just like that, 2022 is over. After years of postponing weddings, couples all over the world were ready to party and celebrate with their loved ones–which they did in style. We’ve seen a handful of wedding trends emerge, and we don’t foresee them going anywhere next year. In fact, we think they’re going to be hotter than ever. From embroidered wedding attire to mismatched printed bridesmaid dresses and everything in between, we’re rounding up some of our favorite wedding trends for 2023.

Wedding Trends For 2023

Embroidered Gloves

There’s nothing more elegant than a pair of bridal gloves. But brides are taking it up a notch and embroidering them. Whether you include your new last name, your and your significant other’s initials, or your wedding date, adding this touch to your accessories is an easy way to personalize your look and get in on one of 2023’s hottest trends.

Statement Veils

Speaking of accessories, veils became one of the most popular wedding additions this past year, and the traditional look is being elevated to make it a little more modern. From sentimental embroidery (like the gloves) to colorful florals perfect for a garden wedding, wearing a statement veil is sure to help you stand out on your wedding day–and make for some pretty epic photos, too.

Shop statement veils: Roslyn Veil; Twigs & Honey Fingertip Dense Pearl Veil; Perugia Veil; Wildflower Embroidered Veil

Non-Traditional Guest Books

While there’s nothing wrong with using a traditional guest book, why not have your guests sign something you can use as a decor piece? Say a guitar? Or a record? Or maybe you’d rather have audio recordings of your guests with the help of companies like After The Tone. No matter what you choose, non-traditional guest books are a trend that is here to stay.

Moissanite Engagement Rings

While this one isn’t technically wedding related, it does pertain to the wedding world. The days of coughing up thousands of dollars are gone. More couples are choosing to save money and help the environment by choosing ethically sourced moissanite engagement rings. And the best part is that moissanite and diamonds are so similar. Chances are, no one will even be able to tell the difference.

Flowers Galore

Florals have officially become the star of the show at weddings (and we can see why). The small but mighty decor piece can completely transform a venue instantly, which is why more couples are allocating more money to their floral budget to create over-the-top arrangements. From the backdrop to the reception centerpieces, we’re betting that 2023 weddings will be covered in flowers from floor to ceiling.

Bold Color Palettes

There’s no need to shy away from color when it comes to your big day. This past year, we saw more newlyweds embrace the idea of colors–especially pastels–and we believe that this trend is going to continue on into the new year. Only this time, it’s going to be brighter, louder, and bolder.

Mixed Print Bridesmaid Dresses

Mismatched bridesmaid dresses have been a trend for a few years now, but we’re seeing more wedding parties become even more lax when it comes to the dress code. Think mismatched prints and colors such as florals, polka dots, etc. The key to keeping this look cohesive is to give everyone a color family to include in their dresses.

Mixed Gender Wedding Parties

Just because your best friend is of the opposite sex doesn’t mean that you shouldn’t be able to include them in your wedding party. Ditch the idea of traditional bridesmaids and groomsmen and embrace including anyone you feel like in your wedding party. It’s your special day, after all, and you deserve to have your loved ones standing up there next to you.

Now that you’re ready to incorporate some of these 2023 wedding trends into your big day, it’s time to dive deep into the wedding planning world. We understand that it can seem like a big undertaking. Our job at Junebug is to make it as easy as possible, which is why we’ve put together a wedding planning guide with everything you need to know to make your dream day come to life.

Everything You Need To Know About Planning A Mexico Destination Wedding

Mexico destination weddings have always been popular, but they seem to be all the rage these days. And we understand why. The country boasts beautiful coastlines, lush jungles, colorful cities, ancient architecture, and luxurious 5-star resorts. Not to mention the delicious food, vibrant culture, and delicious drinks. But there’s a lot to know when planning one.

From choosing the right time of year to tie the knot to ensuring that you’re legally married, we’re putting together everything you need to know about planning your own getaway “I do’s.”

Top Cities For A Mexico Destination Wedding

Cabo San Lucas

Cabo San Lucas is located on the tip of Baja California, and is by far one of the most popular Mexico destinations for a wedding. That’s because it has a vast array of white sand beaches, impressive coastal landscapes, stunning desert scenery, and high-end resorts.

Puerto Vallarta

Situated on the west coast of Mexico, Puerto Vallarta is the perfect destination for adventure lovers. If you and your significant other are big nature fans and love things like zip lining, bungee jumping, and exploring rushing waterfalls, this may be the place for you.

Cancun

Cancun sits in Mexico’s Yucatan Peninsula and is home to a large and easy-to-navigate international airport–making it one of the most accessible destinations to fly into. The city has the same white sandy beaches you’d expect to find, but it’s also known for its Mayan ruins and nightlife scene–aka, it’s the best place to go if you’re looking for a party.

Tulum

There’s a good chance you know at least one person who has tied the knot in Tulum. That’s because it has quickly become one of the most common Mexico wedding destinations over these past few years. It’s not hard to see why. It boasts incredibly blue waters, chic boutique hotels, incredibly delicious restaurants, and ancient Mayan ruins. Only downside? It’s about a two-hour drive from the Cancun airport.

San Miguel de Allende

For an authentic city experience, consider San Miguel de Allende, located in the Colonial Highlands region. The vibrant city is complete with a rich wine scene, colorful buildings, endless markets and artisans, and arguably some of the best food you will ever have in your life.

Best Time Of Year For A Mexico Destination Wedding

Because Mexico is a tropical destination, it’s crucial to time your wedding correctly to avoid hurricane season. This rainy season usually takes place from June to October. This means the chance of your ceremony getting rained out is pretty high. However, tropical destinations usually only receive rainfall for 1-2 hours at a time.

To get the best weather possible, consider January through early May. Because the weather is so beautiful this time of year, this is known to be peak season, which can lead to higher prices. You want to be mindful of this when putting together your destination wedding budget

FAQs

What Does A Mexico Destination Wedding Cost?

Much like every other wedding, the cost of your wedding will vary depending on your venue, vendors, etc. On average, you can expect to pay anywhere from $5,000 to $20,000. While many assume that a destination wedding is more expensive, Mexico destination weddings actually tend to be cheaper than the average wedding in the US–which is about $30,000.

Why is this the case? Many resorts in Mexico are all-inclusive. This means you pay a flat price for the venue, catering, bar, wedding cake, music, etc.

What Costs Should You Cover For Your Guests?

One of the benefits of having a destination wedding is that it naturally trims your guest list. That’s because–typically–the couple tying the knot is not in charge of covering any costs for the guests. This means they are responsible for booking their own hotel, airfare, etc. However, we suggest booking a hotel block so that they get a discounted rate and are near all the fun, though this isn’t mandatory. Do what fits best for your budget, but don’t be surprised if some people can’t make it for financial reasons.

When Should You Send Out Save The Dates & Invites?

When planning a destination wedding, it’s important to send out your save the dates as soon as possible. Ideally, this would fall about eight to twelve months before your big day. Invitations should then follow about six months before your wedding. This gives your guests plenty of time to book their flights and lodging.

When Should You Begin Booking Your Vendors?

As with any wedding, the further out you book your vendors, the better. If you’ve had your eye on a particular vendor for a while, reach out ASAP to ensure that you get to work with them. And don’t be afraid to bring a vendor from home. Just be mindful that you will have to pay for their travel expenses.

Should You Hire A Wedding Planner?

Speaking of vendors, we can’t recommend hiring a wedding planner enough. They are extremely familiar with the destination, its vendors, and tips and tricks to help you save money in the long run. Not sure where to start? Check out our directory of wedding planners in Mexico.

Legal Requirements For A Mexico Destination Wedding

There’s a lot to consider legally when it comes to your destination wedding in Mexico. Many couples choose to tie the knot at a courthouse a week or so before they jet off. This ensures that the wedding is legal in their home country. However, if you want your legally binding marriage to take place in Mexico, there are a few things that you have to do.

To ensure that you can legally marry, you need the following:

  • Marriage application forms
  • A tourist/visitor’s permit
  • Blood test results (which can be done in Mexico no longer than 14 days before your marriage application)
  • Valid passports
  • Birth certificates

It’s also important to remember that your marriage will only be legally binding if you have a civil ceremony. During this civil ceremony, you need at least four witnesses, you have to arrive at the resort at least three business days before the ceremony, and you can’t say “I do” on a Sunday. Sound like a lot? We know–that’s why most people forgo jumping through these hoops!

Our advice is to research your destination’s legal requirements early on in the wedding planning process if you plan to have a legally binding wedding in Mexico. This will ensure that you have all of the documentation you need, which will prevent unwanted hiccups. This is also something a planner is great for.

Ways To Incorporate Mexican Culture Into Your Wedding

Decor

There are some staple decor pieces in the Mexican culture that you may already be familiar with. Think papel picado banners, colorful textiles, star pendant lights, and bold florals.

Mayan Ceremony

We’ve featured quite a few Mexican destination weddings on Junebug, and one thing we never tire of seeing is couples incorporating a Mayan ceremony into their special day. These symbolic ceremonies are full of mysticism and spirituality and are officiated by a native priest, known as a shaman. In it, the newlyweds are introduced to the four elements: Earth, water, fire, and air–all of which are thought to bring energy and harmony to the couple.

This kind of ceremony occurs in nature, usually at an archaeological site or a cenote. That’s why they’re extremely popular in places like Tulum or Playa del Carmen.

Mojigangas Parades

If you’ve settled on San Miguel de Allende for your wedding, don’t forget to take to the streets in a Mojiganas parade. These parades take place with giant paper mache puppets and music. It’s the perfect way to celebrate one of the most important days of your life.

Tequila

Of course, this list wouldn’t be complete without mentioning tequila. There are so many ways to use the traditional Mexican spirit. You and your spouse can take a unity tequila shot during your ceremony, have all of your guests take one with you after you seal your love with a kiss, serve margaritas during cocktail hour, or you can offer a tequila tasting during your reception. The options are endless.

Mariachi Band

Every wedding needs good music. And nothing is more festive than hiring a mariachi band. They’re a fun addition to your ceremony or cocktail hour when you want to get everyone ready for a fiesta.

Street Food

Mexican food is arguably one of the most popular cuisines in the world–and for a good reason. Rather than serve a sit-down dinner consisting of chicken or steak, consider serving Mexican street food such as tacos, elote, chips and guacamole, enchiladas, etc. And you can’t forget about churros and Mexican wedding cookies!

We know that nailing a budget down for your Mexico destination wedding seems like a daunting task. That’s why we’ve broken it down for you and created a free budget spreadsheet so that you can keep track of your expenses and have the wedding of your dreams.

Should You Have A Holiday Wedding?

September 8, 2022 | riley

Weddings are cause for celebration, as are holidays. This is why couples all over the world are choosing to celebrate the two together by hosting a holiday wedding. But choosing to host your special day on a holiday isn’t an easy choice. There’s a lot to consider–budget, guest list, vendor availability, and more.

If a holiday is significant to you and your partner and you’re considering tying the knot on said holiday, there are a few things to consider! That’s why we’re rounding up some of the pros and cons to make the decision easier for you–because the last thing you need is more stress while wedding planning.

Pros Of A Holiday Wedding

Feels more celebratory

One of the biggest advantages of having a holiday wedding is the celebratory atmosphere that the day carries. What’s better than saying “I do” before ringing in the new year with your close loved ones, for example? It also will make celebrating your anniversary every year that much more special.

Choosing a theme is easy

Holidays make choosing a theme and color palette a piece of cake. When we think of Christmas weddings, we think of burgundy, emerald green, and gold accents. For New Year’s Eve, you can play up the metallics with plenty of black, silver, and gold.

Holidays are also synonymous with certain foods, decor, and activities. This means wedding planning is already done for you when you lean into the theme. And the best part is that you can go as subtle or as over the top as you’d like.

Can lead to a smaller guest list

This one is both a pro and con depending on your wedding vision. We know that for some, a smaller wedding is ideal, but it feels impossible because of the long list of family and friends they feel obligated to invite. If this sounds like a predicament you’re in, a holiday wedding may be the perfect way to thin out your guest list naturally.

Cons of A Holiday Wedding

Guests may not be able to attend

It’s no secret that the holidays are some of the busiest times of year for most people. If you want a large guest list with all your closest friends and family, choosing to tie the knot on the bigger family-oriented holidays (i.e., Christmas or Thanksgiving) may not be the right choice for you. Smaller holidays (such as the Fourth of July or New Year’s Eve) may be a better option to ensure everyone can come.

Travel and lodging may be more expensive

The holidays are known to be the worst time for higher travel fares and pricier lodging. Everyone around the world is traveling, making it one of the most expensive times of the year. If you have a lot of guests who are going to be traveling for your special day, take into consideration the logistics of the travel.

Dream vendors may not be available

Hotels and flights aren’t the only things that get booked up quickly during the holiday season–vendors do too. Some of the vendors you want for your special day may be already booked or may be taking time off to spend time with their own families. When choosing your vendor dream team, discuss their holiday availability ASAP.

Financial strain for your guests

Not only will airfare and lodging be costly, but your guests are also likely spending a lot of money at the end of the year as is. Between buying gifts for the holidays and hosting parties, the last few months of the year are some of the most expensive. Adding a wedding to attend on top of that might be a financial burden that some can’t swing.

Tips For Hosting A Holiday Wedding

Consider making it a multi-day event

If you are going to host your special day on one of the bigger holidays, consider hosting a wedding weekend. This allows your guests to truly soak up time with one another and enjoy time in the destination if they are traveling. And because most people get multiple days off for the holidays, they most likely won’t need to take any time off of work, so they’ll be more inclined to stay longer.

Let guests know far in advance

If you are hosting a holiday wedding, let your guests know as soon as you can. Whether you tell them via physical save-the-dates or a wedding website, the more notice you give them, the higher the likelihood they’ll be able to attend. It’s also wise to book a hotel block for guests, so they don’t have to scramble to find a place to stay, which in turn will make them feel more at ease about attending.

Incorporate seasonal details to save money

Incorporating seasonal details such as food and florals is an easy way to fit with the theme, but more importantly, save you money. This could look like using an abundance of greenery for your winter nuptials or including desserts with apple or cranberries for your Thanksgiving “I do’s.” Your guests will assume that you’re leaning into the theme while your wallet will thank you.

Before you decide to host a holiday wedding, consider what that holiday means to you and your significant other. And most importantly, think about how important it is to you to have your family and friends in attendance. Once you think about these factors, you’ll be able to decide whether or not it’s the right choice for you.

If you’re thinking about planning a holiday wedding and you want to start checking out vendor availability, check out our vendor guide to help you find the dream team for your special day!

Frequently Asked Questions

Do I Need A Wedding Lounge Area?

There are no rules when planning the wedding of your dreams. So no, lounge areas aren’t required. But they are an aesthetically pleasing and functional addition to any reception space.

Where’s The Ideal Lounge Location?

Every wedding reception venue will be different. This means there’s no “ideal” location that’ll cater to every single venue. But keeping your lounge area away from the dancefloor yet close enough to the action is a good rule of thumb. You’ll want to create a space where guests can mingle and relax without feeling secluded.

How Big Should The Lounge Area Be?

Your lounge area doesn’t have to be large enough to fit all of your guests. During the reception, you and your guests will be bouncing from the dinner tables to the dance floor and everywhere in between. The odds of everyone being in one place at one time is extremely low. That’s why when it comes to the size, you only need space for 10-15% of your guest list
