Dana and Arlan’s wedding vision was truly shaped by the stunning location they chose. The vintage atmosphere overlooking the Pacific provided the ideal backdrop for the ambiance they wanted. With a rich, earthy color palette and subtle hints of blue, complemented by nostalgic elements such as record players and disposable cameras, their cozy Timber Cove Resort wedding felt like a dream come true. Everything fell into place beautifully, resulting in a celebration that exceeded all their expectations.

Set against the majestic sea backdrop, the ceremony was a breathtaking scene for their romantic exchange of vows. Crafting a Cozy Timber Cove Resort Wedding

The ceremony was very romantic and memorable. Our officiant was a family friend, and the service was held primarily in Russian as both myself and Arlan are originally from Kazakhstan, though we live in Northern California now. Some parts were kept in English so that everyone felt included. We wanted it to be more than just about us and just the day. We wanted a relaxed and cozy weekend for all of our family and friends to enjoy. On the wedding day, having our 78-year-old grandma, who flew in from Kazakhstan, give a blessing was really important to us.

Choosing a Venue That Aligned with Their Vision

It’s important to think the theme through. It helps direct the wedding and guide all your decisions moving forward. For us, the cozy cabin and vintage theme really came together beautifully in the end. The venue plays a large part in that (it sure did for us), so make sure you look at many venues and find one that fits the vision and vibe you are trying to create. Thanks in large part to our amazing planners, our whole event flowed seamlessly, and we never felt rushed or stressed. We were able to do it all and enjoy every moment of the day. That is what we are most proud of.

Finding the Perfect Venue by Trusting the Experts

We looked at so many venues. We toured locations with Taryn from TSWED in Maui, Oahu, and Napa, CA. But we couldn’t find the right fit. Finally, our wedding planner pitched us the Timber Cove Resort, which was different from the vibe we were initially looking for. However, they insisted that Timber Cove had an aesthetic that matched our personality as a couple. When we got to the site, we couldn’t believe it. It was the perfect fit for us!

Choosing Mexico as their destination, they set out to create their perfect celebration, and with the expert help of Junebug vendor and wedding planner Lucy Gallagher, they brought their dream wedding to life. A Detailed and Personalized Secrets Moxché Weekend Long Wedding

We didn’t have a specific vision for our wedding, which was a blessing. We wanted a weekend-long celebration that reflected us and our relationship. Given our love for hosting and attention to detail, we opted for an airy, timeless, yet detailed affair. Personalizing every aspect, from stationery to color schemes, was a joy. Our weekend included a rehearsal dinner, a welcome party, and our special day. We infused elements of the location and our personalities into every detail, from fun facts on napkins to signature margarita drinks. Our wedding day, with its neutral palette and soft textures, was brought to life with my favorite flowers tulips, adding a special touch to the occasion.

Stumbling Upon Their Venue During a Vacation in Mexico

When we were deciding where to have our wedding, we thought Mexico would be a great choice. It was an easy decision since we love Mexican food and tequila. We wanted our wedding weekend to be easy for our guests and us, so we chose Playa del Carmen because it has a good airport and lots of venues to choose from. We hadn’t heard of Secrets Moxché before, but we stumbled upon it on our last day in Playa del Carmen and fell in love with it as soon as we saw it. The rooftop, overlooking the ocean, sealed the deal for us. The hotel is beautiful, from the lobby to the rooms, and we knew it would be the perfect place to host our family and friends and have the timeless wedding we wanted.

Tips for a Stress-Free Wedding Planning Journey

Here’s some advice for couples planning their wedding: Enjoy every moment. Planning should be fun, not stressful, and it flies by quickly. A friend once told me that the engagement period is the shortest phase of a relationship, and it’s true. So, make the most of it. Understand that there will always be things you can’t control, but in the end, you’ll realize how perfect the day was. Work together as a team when planning. Each of you has strengths, so use them! Your wedding day is about the two of you, so the more you both contribute, the more satisfaction you’ll feel when it all comes together. Don’t just follow trends because they’re popular. Whether you prefer something traditional or more unique, go for it. Your wedding is about celebrating your love with your loved ones while reflecting on who you indeed are.

How Attention to Detail and Personal Touches Made Their Secrets Moxché Weekend Long Wedding Special

Thanks to the stationary and design vibes, our wedding had a consistent and unified look and feel throughout the weekend. It was easy for everyone to recognize it was our wedding because of the unique touches we incorporated everywhere. From the personalized treats in the welcome bags to the traditional coasters and fun facts in the ceremony program, attention to detail was crucial for us, and we’re thrilled it showed throughout the weekend. We aimed for our wedding to reflect who we are and the love and respect we share. It was important to us to take care of our guests and ensure they felt appreciated for making the trip to celebrate with us. Our wedding wouldn’t have been as magical without the support of our family, friends, and vendors. We placed a high priority on surrounding ourselves with the best company and working with top-notch vendors.

Thoughtful Welcome Bags Filled with Treats and Hidden Surprises

One of my favorite parts of the wedding planning was preparing the welcome bags for our guests. I was so excited to share them! I personally designed the tags with our M|M logo and the newspaper that was tucked inside. The newspaper included all the weekend events, a fun crossword about us, local attractions, and useful Spanish phrases for the weekend. We included plantain chips and chili mangoes as “his and hers” snacks and delicious popcorn. Each bag also contained coasters made of Talavera ceramic. On the bottom, it said, “Made in Mexico, Marc & Moni 2023.” We didn’t want to overload the favors with our names and wedding dates, so we hid it under the coasters. Every item in the bag was chosen with care and meaning, and we were thrilled that our guests loved them.

Crafting Personalized Moments: A Vizcaya Museum & Gardens Wedding Ceremony to Remember

We worked with our officiant, a good friend, to create a deeply personal ceremony. My 92-year-old grandma, who only speaks Spanish, wrote and read a prayer for us. We wrote and read our vows, and they were astoundingly complementary. Our recessional song was “We’re All Dudes” because we both love “Good Burger.” Our dog wore a tux, walked down the aisle, and stood with the groomsmen. There were also touches of him throughout the reception, like on our cocktail napkins and atop our cake. Our logo, which another good friend created, was featured everywhere, including on the dance floor. We also wrapped the night by scream-singing “Welcome to the Black Parade” with all our (millennial) guests.

Tackling Wedding Stress Through Strategies in Organization and Communication for Their Vizcaya Museum & Gardens Wedding

I’m not sure I ever figured out how to manage the stress, but I tried to be organized, decisive, timely, detail-oriented and communicative with my planner and vendors throughout the whole process. From finding the perfect venue to selecting the right flowers, curating a guest list, and even choosing the perfect attire–the list of decisions to be made can feel endless. But what if there was a way to simplify the process? What if Artificial Intelligence (AI) could take some of that burden off your shoulders? 

Although the technology is newer, we are already seeing it pop up in the wedding world, which is why we’re diving into whether or not it’s a valuable tool for couples planning their wedding.

What Can AI Wedding Planning Tools Do For Couples?

AI can offer a multitude of features to simplify and streamline wedding planning. One of the most useful tools is AI chatbots. These chatbots (i.e., ChatGPT) can handle tasks such as answering frequently asked questions from guests, budget management, speech writing, music selection, and more.

AI can also assist with the more creative aspects of planning. For example, AI algorithms can generate unique wedding themes or help design wedding invitations, taking into consideration your personal style and tastes.

Are There Any Specific AI Features That Are Useful For Wedding Planning?

The use of AI in wedding planning has its advantages, the major one being the time and stress it can save. AI can sift through vast amounts of info faster than most people, making it easier and quicker to find exactly what you’re looking for. For example, need color palette ideas? You don’t have to spend hours searching online for inspiration. AI will be able to give you ideas in seconds.

Another advantage of AI is the level of personalization it can offer. By learning about your preferences and style over time, AI can provide tailored suggestions that closely match your vision for the big day. 

We asked Junebug vendor and wedding planner Claire Do Monte Weddings her thoughts on this, and she said,  “AI can play a significant role in visualizing decor and styling at a wedding.  I think AI-driven photo editing and rendering tools are super helpful and can digitally mock-up decor and styling ideas based on the couple’s preferences. I find these are good to show how specific decor elements will appear at their wedding venue, allowing couples to experiment with different concepts before making final decisions.” 

What Are The Disadvantages of Using AI to Plan a Wedding?

Despite its benefits, AI, like any technology, isn’t perfect and comes with its own set of disadvantages. One of the biggest drawbacks is that AI lacks the human touch. It can’t fully understand emotions or nuances, sometimes leading to misunderstandings or unsatisfactory recommendations. While AI can handle many aspects of planning, it still can’t replace the expertise, creativity, and personal touch of a professional wedding planner.

“Since a wedding or a social event is for human interaction, we believe that the planning process should be personal, with a human that people can actually connect with. They should be listened to about requests and petitions. We recommend limiting AI to the creation of prints, guest confirmation, and meal choices for dinners. Also, we believe that with AI, client expectations can far exceed their real budget or visions. Lastly, using AI often involves sharing personal information and preferences, which can raise privacy concerns. It’s crucial to ensure that any AI tool or app you use adheres to stringent data protection standards.

They’re going to be able to add the personalization needed to make your vision become a reality. Surrounded by tall Redwood trees, the outdoor ceremony was a sight to behold. Lanterns, ribbons, and colorful blooms added brightness to the setting, making it feel extra special. After the ceremony, everyone gathered for the festivities. One of the best parts was a bright neon sign that said, “Everyone is Gay,” like the ones you see in Las Vegas. It was a fun way to celebrate love and diversity.

Later, they both changed into striking red traditional attire for the reception, adding even more elegance to the occasion. How Their Roberts Regional Recreation Area Wedding Came To Be

Our wedding aesthetic evolved through a thorough planning journey where we sought design inspiration and scouted venues. Settling on a reception venue with a bold terracotta-colored wall, we embraced Mariah’s love of pink. Her dream of wearing a sparkling dress and Jen’s vision of a maroon suit further set the tone. Being of Taiwanese descent, Jen’s heritage inspired us to integrate Chinese accents into the design, resulting in a vibrant fusion of pinks and reds. Chinese lanterns, ribbons, fabrics, and florals added pops of color, weaving cultural richness into the celebration. To pay homage to our love for Vegas and as a celebration of our queer identity, we designed a custom neon sign that says “Everyone is Gay” inspired by the iconic “Welcome to Fabulous Las Vegas” sign. Our wedding was ultimately a collection of our personal passions, cultural influences, and cherished memories.

Embracing Authenticity and Honoring Their Values

Contrary to the outdated notion that a wedding is primarily for others, we take pride that we were able to remain true to ourselves throughout the entire process. We planned the day that was most meaningful to us, staying authentic to our desires and values. Selecting standout memories from the day is challenging as every moment holds significance. However, our vow exchange and the heartfelt toasts from our loved ones were highlights. These moments affirmed our decision to share this day with each other and our community.

Trusting Instincts: Letting Go of the “Perfect Day

Release the notion of the “perfect day” and rely on your instincts. Embrace your decisions with enthusiasm without constantly doubting if they are the “right” choices. While we personally organized the entire wedding, we eventually opted to enlist a day-of coordinator for assistance with the execution. Doing these two things was invaluable to our process. They allowed us to conserve energy while planning and be fully engaged in the unfolding of the day.

The Story of Their DIY Wedding Decor

We custom-designed rainbow suncatcher stickers featuring one of our favorite flowers, the pincushion protea, as a fun and interactive representation of ourselves. It brings us joy to receive photos of rainbows casting their vibrant hues into our guests’ homes, knowing that they’ll be reminded of us whenever they catch a glimpse. We DIYed all of the stationary and decorations for our wedding, including all of our florals. A few days prior, we went to the local flower market, handpicked an assortment of blooms, and crammed them into our Subaru to store at home. The night before the wedding, we hosted a “flower prep pizza party,” where friends and family gathered to assist in cutting and designing all of the florals, except for our bouquets, which we designed ourselves. A special shout-out goes to our friend Jas, who took the lead in designing several of the larger centerpieces and aisle vases.

How They Landed on a Tropical SKYLIGHT Wedding

We had gone to a wedding that went to the wee hours of the morning and thought it was so fun not to have to change locations for an after party. Our venue was a 24-hour rental, so we got to choose whatever end time we wanted, and it worked out great. We also loved the blank canvas that we got to decorate and that it was centrally located so guests could stay in Denver. We had been going to a ton of weddings of friends when we got engaged, so we started by just thinking about what we liked and didn’t like at those weddings. Eventually, we found our venue and met with our planner, who gave us amazing vendor recommendations. The style of our wedding is very much a style we love in our own lives, relatively simple with warm touches and a few showy statements.

Reserving a number of rooms in a hotel room block ensures that your guests will have a place to stay close to your ceremony and reception. This makes things like transportation to and from the big day more manageable. It also allows the chance to secure a discount for out-of-town guests, though this option is not available at all hotels.

Although many guests will wait until the last minute to book their accommodations, you’ll need to make sure to set up your hotel room block months ahead of the wedding date to guarantee that no big events—think conferences, tournaments, or even other weddings—will keep your guests from being able to book a room. How To Choose A Hotel For A Room Block While Wedding Planning

Choosing the hotel for your guests depends on where the wedding is taking place, the price points, the available amenities, and how many guests will be staying at the hotel. You also want at least two different hotel options for your guests–one that is higher-end and one that is more affordable.   6. Will we owe damages to the hotel if the entire block is not booked?

This will help gauge how many rooms to book in the beginning. We recommend booking a smaller number of rooms in the beginning. Unless they do not charge any penalties for not filling the room block—most hotels do—this will help you avoid unwanted fines or fees.

Tips For Booking a Hotel Block

Start early – Beginning your hotel search early gives you ample time to explore various options, compare rates, and secure the best deals. Popular wedding dates and peak seasons can result in limited availability, so booking early ensures you have more choices.

Estimate room needs – Consider the size of your guest list and how many out-of-town guests are likely to need accommodations. It’s better to overestimate slightly than to risk not having enough rooms available for your guests. Work closely with your wedding planner or coordinator to get a good estimate.

Negotiate terms – Like many other things in life, one of the best pieces of advice for booking a hotel room block is to ask, ask, ask! Ask for discounts, upgrades, etc. Although you may not always get a discount, you may be able to get concessions such as free WiFi, parking passes, and maybe even room upgrades. A lot of these additions go overlooked because couples didn’t ask.

Check room block policies – Carefully review the hotel’s room block policies before signing any contracts. Pay attention to details like the cutoff date for reservations, minimum stay requirements, and penalties for unused rooms. Make sure these policies align with your needs and expectations.

Set up a booking link – Many hotels offer the option to set up a personalized booking link for your guests. This makes it easy for guests to book within the room block and ensures they receive the discounted rate. Provide clear instructions and the booking link on your invitations to streamline the booking process.

Regularly check in – Stay in touch with the hotel leading up to the wedding to monitor the status of the room block. Check the number of rooms booked regularly and make adjustments as needed to ensure you’re not left with unused rooms or scrambling for additional accommodations.

Consider guest needs – When selecting a hotel, consider your guests’ needs and preferences. Look for hotels that offer a variety of room types and amenities, and consider factors like accessibility features for guests with disabilities and pet-friendly policies for guests traveling with pets.

Terms To Look For When Booking a Wedding Hotel Room Block

After you have the questions above answered and receive the contract from the hotel, you should carefully examine it. It’s wise to be familiar with the terminology you may find on the contract. Some words to keep an eye out for are:

Deposit Amount – The deposit amount is the price that the hotel requires to be paid at the time that the contract is signed.

Cut-Off – This is the last day that your guests can book a room in your reserved block before they are available to the public. Hotels will generally have a cut-off point before your wedding. It’s typically anywhere from 30-60 days before your special day.

Allowable Shrinkage Clause – This number is the percentage of rooms that are allowed to go unbooked. It’s normal for this percentage to range from 10% to 20%.

Attrition Rate – This is one of the most important terms to keep in mind. The attrition rate is the number of rooms that must be filled to avoid paying a penalty fee. This is usually around 80-90%.

Mitigation/Resell Clause – Once the cut-off date has arrived, the hotel is required to try and sell the unfilled rooms that you had booked

Letting Your Guests Know About the Accomodations

Once everything is booked, let your guests know. The best way to do so is by using your wedding website. This way, they can find all of the information with the click of a button. If guests are coming from out of town, it’s also nice to include directions on how to get to the accommodations from the airport.

If you are not using a website and have yet to send out your invitations, you can also add the information to the invites. It’s important that you guide your guests through the booking process. Let them know that when booking the hotel, they should use a certain link or call the hotel directly and refer to the wedding by name. You’ll also want to remind them to book before the cut-off date if they want the discounted rate.
