Right from the start of planning their wedding, Marybeth and Andrew knew they wanted a garden feel for their special day, but they also wanted a great view. Let us tell you, they totally nailed it! Their Cavo Ventus wedding was like stepping into a flower wonderland that perfectly matched the breathtaking Santorini scenery and is definitely a must-see. 

Perched above the mesmerizing Aegean Sea, the luxurious villa provided an idyllic backdrop for exchanging vows. Lush arrangements adorned both sides of the aisle, guiding the way to the altar while framing breathtaking views of the couple and the boundless horizon. The intimate reception unfolded at a mirrored serpentine table adorned with abundant flowers, elegant chandeliers, and installations that added a touch of floral enchantment. It was a perfect harmony of opulent blooms and the inherent beauty of the scenic destination, creating a truly magical atmosphere for the celebration.

How the Venue Perfectly Aligned With Their Vision

We selected our venue with a focus on the breathtaking view and its distinct areas for each phase of the celebration. The glass walls greatly appealed to us, allowing an uninterrupted Santorini view. Our ceremony, dinner, and reception were seamlessly separated into different spaces. We also aimed for wedding photos against the backdrop of the stunning Calderas. It perfectly complemented our vision of a garden vibe adorned with abundant florals.

The Importance of Research and a Skilled Wedding Team

My biggest advice is to do your research and hire a good wedding planner, photographer, and videographer. I couldn’t have done it without Julia and Evita. Phosart also captured our day so perfectly, and we are so in love with all the memories they captured for us.

The Step-By-Step Guide to Creating Your Wedding Guest List

Does thinking about your wedding guest list make you anxious? You may not know where to start or how you’re going to explain to some loved ones that they aren’t going to be invited or how you’re going to trim it down to fit within your budget. If you’ve never planned a wedding before, all of these questions can be extremely daunting. That’s where we come in. First thing first: take a breath. Working yourself up is only going to make the planning process that much more stressful. Now that you’ve cooled off a little, scroll through this step-by-step guide to creating your wedding guest list.

Step-By-Step Guide to Create Your Wedding Guest List

1. Your guest list should come before choosing your venue but after determining your wedding budget

Unfortunately, guests are expensive. Remember, you’ll need to account for food and drinks for all of your guests—and more guests means more tables, chairs, dinnerware, etc. That’s why it’s essential to determine your wedding budget first. This way, after you move to step two and make your dream guest list, it will be easier to “cut” guests based on the funds you have to spend.

2. Create your dream list

We highly recommend making a date night out of this next part. Go to dinner or pick up some pizza and wine to enjoy at home, grab your favorite notebook, and get to writing everyone you’d love to have in attendance on your special day. Because this is your first draft, it’s more than okay to dream big and include everyone in this list. We know your parents might have guests they’d like to invite, and they might be footing the bill, so we’re not saying to leave them in the dust, but do make your list first. You’ll then be able to explain to your parents that there’s X room for more guests according to your budget.

3. Establish the “rules”

Are children invited? Who gets a plus-one? These are important questions to ask. If you’re deciding on a no-children wedding, make sure your wishes are made very clear on the invitation. When it comes to the plus-one list, a general rule of thumb is to give a plus-one to couples who are engaged, married, or seriously dating (aka you’ve met their partner and your gut tells you they’re in it for the long run). On your invites, you can include language along the lines of, “We’ve saved X seat(s) in your honor” to make it clear if they do/don’t have permission to bring an additional guest.

4. Go back to your list, and get organized

Now that you’ve established your budget, made your list, consulted with your parents, and determined the rules, it’s time to get organized. Section your list into categories, such as distant relatives, close friends, distant friends, immediate family, etc. This will help you in the cutting process to see what groups you may have to leave out. For example, if your distant relatives and distant friends categories have the same amount of people and you need to eliminate one, you can think about that category as a whole instead of trying to single people out and cross them off that way.

5. Make your “cuts”

This is one of the hardest parts of putting together a guest list. It’s time to make cuts. Although it’s difficult, it’s okay to make cuts to your guest list, especially if it means not breaking the bank. If you don’t know how to begin, here are some questions to ask yourself when cutting back your list:

  • Can you imagine your wedding without this person there?
  • Would you go to dinner or drinks with this person outside of your wedding day?
  • Will it bring you joy to have this person at your wedding?
  • How long has it been since you’ve seen or spoken to this person?
  • Did this person invite you to their wedding? (Note: Reciprocal invites are not a must!)

6. Send save the dates

You’ve gotten through the hard part. That means it’s time to shop for save-the-dates. Remember the 10% rule: At least 10% of your guest list might not be able to make it to your wedding. In this case, it’s OK to have a backup list of people who you’d like to attend in their place. This is why we recommend sending out save the dates as soon as possible. It’s alright if you haven’t taken your engagement photos yet—there are plenty of invites that are beautiful without a photo.

7. Stand your ground and lean on each other

Emotions are tough. Sometimes people won’t understand your perspective, and that’s okay. Take it as affirmation that you made the right decision by leaving them off of your guest list. You don’t need that negative energy on one of the biggest days of your life. Use this time and these potentially tricky situations to grow closer to your person. Come wedding day, this will all be behind you.

This Panama Dining Room Wedding Was the Epitome of Romantic

Love blossomed in simplicity on Kate and Jack’s special day. Their dreamy Panama Dining Room wedding was a delightful blend of ease and joy. The couple’s goal was clear: to keep things relaxed and enjoyable. Imagine a gorgeous venue adorned with vibrant spring flowers, setting the stage for a day filled with laughter and warmth. Surrounded by their favorite people, the celebration was a feast for the senses, featuring delicious food and unforgettable moments. It was a day that unfolded just as they had envisioned.

The floor-to-ceiling florals gracefully framing the large arch windows, created an enchanting atmosphere within the loft-style interior. This picturesque setting served as the backdrop for the most romantic moment of the day, the exchange of vows. After the heartfelt union, the celebration continued with a classic restaurant reception that centered around two essential elements: delicious food and pure fun. It was a seamless transition from the heartfelt ceremony to an evening filled with culinary delights and joyous festivities.

How Their Relaxed Panama Dining Room Wedding Day Unfolded

Our focus for the day was for it to be relaxed and fun. We wanted to enjoy great food, drinks, and music with our favorite people, and the day definitely delivered on that. In terms of the style, we didn’t overthink it too much. Neither of us has the most artistic eye, so we thought it would be hard to go wrong if you kept things pretty classic. The venue itself was beautiful as it was so we chose bright spring flowers to complement it.  

From Fitzroy Streets to Dance Floor Beats: Their Wedding Day Highlights

We enjoyed getting photos of our wedding party before the ceremony. We roamed the streets of Fitzroy and grabbed a margarita (thank you to our photographer for that idea!). Neither of us loves being the center of attention, so it definitely took us by surprise that the ceremony was also one of our highlights, thanks to our celebrant, who kept things light and fun. And, of course, the dance floor is up there as well.

Crafting a Relaxed Day Focused on Food and Fun

It’s easy to get carried away when planning a wedding, so with each decision we made, we asked ourselves, “Will this make the day less stressful and more enjoyable?” and if the answer was yes, we went for it. This meant we chose an indoor venue (to avoid any obsessing over the weather) and skimped on other things so we could do after-dinner cocktails. At the end of our night, we gave out Stubbie coolers with photos of our beloved dogs and cats on them (they had to be part of the day somehow).

The Simple Path to Their Celebration: Fun Over Stress

We kept things very “us,” I would also like to think our guests enjoyed themselves! It was a spontaneous decision to have our wedding in Melbourne as we aren’t locals. It’s just where we love to go for a weekend away. So we were very grateful to our guests for traveling to celebrate with us and wanted them to have a great time. Most of our decisions were based on more fun and less stress. I knew trying to do anything DIY would stress me out because I’m an absolute procrastinator, so we outsourced what we could and kept things simple. We didn’t DIY anything, but my talented mum made the wedding cake herself.

How They Fell In Love With the Panama Dining Room 

We stumbled across The Panama Dining Room on a wedding website and loved the venue so much that we ended up having our wedding in Melbourne. The space is beautiful, with huge floor-to-ceiling arched windows and plenty of space for the ceremony, canapés, dinner, and dancing in one spot. Plus, it had a late curfew, which was essential to us as we knew we wouldn’t want the party to end.

Creating a Personal Ceremony with the Help of Their Officiant

We left personalizing the ceremony up to our lovely celebrant. We each filled out her questionnaire individually and left what the other had said to be a surprise on the day, which was so fun. We had a crack writing our vows, but it just wasn’t for us, so we let Wendy tell our story, and it was perfect. We signed our wedding certificate at the bar after the ceremony to get straight into the celebration.
