The Ultimate Guide to Planning Your Rehearsal Dinner

As the final event before the big day, the rehearsal dinner acts as the bridge that takes the couple, the family, and the wedding party from planning mode to wedding weekend mode. While the general idea of the rehearsal dinner has remained the same, the execution and expectations have evolved through the years. In order to help you plan the perfect rehearsal dinner to kick off your wedding weekend, we’ve put together a guide with answers to the most common questions, theme ideas, and outfit suggestions.

Common Questions

Who pays for the rehearsal dinner?

Traditionally, one side of the family–typically the side that’s not helping pay for the wedding–pays for the rehearsal dinner. However, more and more couples today are either paying for the rehearsal dinner themselves or splitting with both sides of the family. If one partner’s parents are more traditional or you’re looking for ways to get the in-laws involved, this is a great opportunity to do that. It will give them a substantial role in the wedding weekend and will take one thing off your to-do list, which is a serious win-win.

Who is invited?

The guest list for your rehearsal dinner is entirely up to you. You can keep it small and traditional with just family, the wedding party and their plus-ones. You can also open it up to all out-of-town guests–especially if you’re having a destination wedding. Opening up the list to your rehearsal dinner can give you more quality time with your guests than you’ll be able to get on the wedding day, and in a much more casual setting.

If you want to meet somewhere in the middle between a traditional rehearsal dinner and a more modern pre-wedding event, you could also keep the dinner small and invite other guests to an after-party at a nearby bar or a relative’s home. That way you get an intimate dinner with your family and wedding party and also get to spend more time with guests before the big day.

Are invitations required?

If you’re keeping the rehearsal dinner small–with just immediate family and the wedding party–invitations aren’t required. Just be sure to let everyone know where they need to be and what time. If you’re opening the event to more guests, an invitation might be the best and easiest way to let everyone know the details and request an RSVP.

If you’re having a more formal wedding and want to carry that through all pre-wedding events, send paper invitations. If you want to keep things more casual, send an e-vite or put the rehearsal dinner information on your wedding website. All that matters is that everyone has the information they need. Don’t stress too much about how it’s delivered.

When should invitations be sent?

If you are sending invitations, you should send them at least four weeks before the dinner. You want them to arrive after the wedding invitation but with plenty of time for guests to RSVP.

When does the rehearsal dinner take place?

Traditionally, the rehearsal dinner takes place right after the ceremony rehearsal. Everyone who is involved in the ceremony will meet with the wedding planner and officiant to walk through the ceremony and iron out any last-minute details. Then, after the rehearsal, everyone celebrates with a meal or an activity.

What events typically happen at the rehearsal dinner?

Regardless of the format of your rehearsal dinner, there are some elements you should consider including. After the meal or during dessert, the hosts should make a toast to the couple, welcoming them into the family. Then, as a couple, you should make a toast to your wedding party and family, thanking them for all they’ve done to help the wedding come together.

Following those toasts, you could then open the floor for anyone to give a toast, so those who aren’t speaking at the wedding reception have a chance to tell you how much they love you both. It’s also a wonderful time to hand out wedding party and parent gifts.

Lastly, before the event wraps up, you should make any last-minute announcements or reminders for the wedding day, such as start times and locations or transportation details.

Theme And Activity Ideas

Even though the name hasn’t changed, the ideas and expectations certainly have. Gone are the days when the family needs to host a formal, sit-down dinner right after the ceremony rehearsal. Nowadays, couples are opting for unconventional meals or activities to kick off their wedding weekend celebrations and we are so here for it.

What to Wear

Make sure to research hard and select a photographer who has a vibe and style that really aligns with yours. The photography team becomes such an important part of making the energy positive, staying on time and capturing every moment so you can relive it for years to come. We also booked our videographer last minute due to having regrets of not booking and we are SO glad we ended up with video. There are so many little moments and being able to rewatch everything after things settled was so special and emotional to us.

When planning our wedding we knew we wanted the flowers and energy to match that of the magical country of Costa Rica and the amazing Pura Vida lifestyle they all share. The flowers became the color pallet and because I was never able to settle on one color, I decided to celebrate my bridesmaids individuality by using different colored dresses. We wanted to stay true to the beach feel and went with dresses designed by Free People to match the boho style of my wedding gown. It was important that everyone had a good time and we prioritized entertainment value including a live trio for cocktail hour, saxophone player, fire dancer show and went out with a bang with a surprise firework show. I majority of our guests had never visited Costa Rica and we wanted to make sure they got to see why it was so special to us including the amazing landscapes, lush/vibrant flowers, talented musicians and caring people who did everything to make our big day so special.

We had raffia fans placed on everyones chairs with the schedule attached including the wedding party names and music. We selected to do a unity sand visual during our ceremony and had the glass engraved with our name and combined into a container including our last name “Moore”.

Adri (our photographer) and her team were ABSOLUTELY INCREDIBLE! She kept me on time and was super organized. Adri brought the best energy and had everyone laughing and in great spirits. She made me feel so beautiful and made our couples shoot fun and romantic. Adri never let her energy change and kept high spirits the whole night completely embodying that Pura Vida vibe we wanted so bad!

Wedding colors were set by the color pallet of the natural exotic flowers of Costa Rica. We used a mix of coral, red, grey, peach and pink for the bridesmaid. At the reception we used coral napkins to help with the color pop at the table and accented with gold cutlery and name plates.

Our wedding planner Andrea Toledo with Dreams Las Mareas was outstanding! She brought my vision to life and made all my dreams happen. She made sure to provide us with all the best entertainers and kept us super organized on our BIG day!

Our big surprise was the fire work show ending. Everyone thought we were going to the beach to do a sparkler send off and after walking through the sparklers a bang went off and we were able to enjoy a private firework show on the beach with our guests! Everyone was surprised and blown away and it made for the memory of a lifetime! We definitely went out with a BANG!

8 Tips for Productive Video Meetings with Your Wedding Vendors

It’s official! Video meetings with your wedding vendors is the next big thing. Well, at least until we’re all able to leave our homes again. We’ve been quite impressed with how quickly wedding vendors of all kinds—from florists to planners and even catering teams—have adapted to keep their couples’ afloat during this crazy time. If you’re new to video meetings, or just unsure where to start, we’ve come up with eight helpful tips to have you rocking video meetings with your wedding vendors!

Here are our eight tips for video meetings with your wedding vendors:

  • Create a vision board
  • Write down a list of questions, and send it beforehand
  • Test your video conference system
  • Ask for samples
  • Determine an appropriate time limit
  • Speak up about concerns or ask for more images after the call
  • Set post-isolation meeting goals
  • Trust your team

Create a vision board.

We love vision boards! If you’ve been dreaming of all the little details for your day, now is the time to head over to Pinterest or Instagram and start grabbing all the inspo. Having a mood board will help you articulate your desires to your team and gives them something to “take away” after the call.

Write down a list of questions, and send it beforehand.

Take the time to write down questions you have for each of your vendors so you can stay on track. As a courtesy to them, it’s a great idea to send over your questions via email beforehand so they can prepare accordingly. If you don’t know what questions to ask, that’s OK! Most vendors will know the general things to go over with the two of you during the call. And, if nothing else, just get to know them and see if it’s a personality fit.

Here are a few common questions to ask that are related to COVID-19: 

  • Have you updated your contract to cover future pandemics or situations similar to COVID-19?
  • How are you currently handing rescheduled wedding dates?
  • Can we put a soft-hold on our date until more certainty comes surrounding recent events?

Test your video conference system.

Whether you’re using Zoom, FaceTime, or any other video conferencing system, it’s helpful to test it out beforehand so you can work out any kinks to the system! Make sure you’re in a room without too much background noise so you can hear each other clearly. Bonus tip: If you’re video chatting during the day time, face toward a window (so that the light is shining on your face versus behind it). That way, they can see your beautiful faces most clearly!

Ask for samples!

When it comes to vendors like catering, cake, and cocktails. Ask if your preferred vendors have any offerings for delivery. Then, set up a date-night table and get ready to video conference your tasting! Keep in mind that vendors may require a fee for this, but it’s a great way to support your wedding industry team (and get a totally amazing date night meal).

Determine an appropriate a time limit.

It’s safe to say we’re all grasping for human contact these days, and it is easy to chat wedding planning for hours! To respect everyone’s boundaries, determine a time limit you all are comfortable with before the call. That will help you stick to the most important information and, hopefully, still leave a little time for some extra conversation!

Speak up about concerns or ask for more images after the call.

When it comes to meetings with your design teams (planner, rentals, florist, venue, etc.) make sure you speak up if you’re having a hard time viewing something on the video call. It’s totally OK to ask for more images of the examples when you’re finished with the video call.

Set post-isolation meeting goals.

Start planning on tentative in-person meetings with all of your vendors so that you can get things moving once stay-at-home orders are lifted. This will also help you have something to look forward to and know the big decisions you’ll need to make as soon as you can.
