When searching for their dream venue, Jill and Tommy asked each other, “If we could host the party of a lifetime, traditional wedding expectations aside, where would we have the most fun?” A Fairmount Park Horticulture Center wedding was the perfect vibe—laid back, yet stunning—for their day! Plus, they didn’t have to worry about inclement weather getting in the way of decor or the magical florals Vault + Vine created. We are both designers, and overall style was an important element. We wanted a vibe that was fun, magical, and expressed our personalities. Time of year was an important consideration, as October is a favorite month for both of us. There’s just something special in the air during early fall and we wanted that something at our wedding.

Wedding planning advice from the couple: The wedding day is short, but the year (or more!) spent planning is such a special, celebratory time, and it’s important to not lose perspective of that and really enjoy it. Additionally, split your to-dos into 2 or 3 month chunks. Not everything needs to be started as soon as you get engaged. Our wedding planner, Caitlin, taught us that one and it came as a huge relief!

We couldn’t have done it without Caitlin at Clover Event Co. Her killer combination of an eye for style and a mind for event planning were absolutely unbeatable. No detail was overlooked; she understood our vision so perfectly and helped us bring it to life. Her reassuring and positive presence throughout the planning process made the whole experience so much fun.

Walking down the aisle was my favorite moment! Not only was it *the* moment, but it was also the first time each of us got to see every person we love gathered together in one room. It was an amazingly touching moment.

Our main color was deep pine green. It was inspired by the botanical surroundings of our venue, and chosen to introduce a bit of October moodiness. We used a handful of accents – rust, olive, and gray for decor and linens, as well as pops of fuchsia, blush, and burgundy in our florals for an element of whimsy.

This Tropical Prospect House Wedding Perfectly Nails Austin Cool

Ashley and Regina “brought Tulum to Texas” with their minimalist and tropical Prospect House wedding! Everything about this day gave off those cool vibes that only Austin has. The rad greenery and palm leaf arrangements designed by Wild Bunches Floral totally POP against the blank canvas the Prospect House wedding venue offers. If you’re into unique details, you’re going to obsess over this couple’s personalized salted caramel pecan praline party favors and photo wall! We had met Jeff for our engagement photos which was really nice because on our wedding day it felt like we already knew him. He is a story teller, which is exactly what we wanted. He captured our day so perfectly….instead of just taking photos, he created a story, captured a day, captured the essence of our wedding. We had two photographers and two videographers, and they all meshed so perfectly! We couldn’t be happier with the memories!

Regina found this venue while we were just poking around. A week or so after we were engaged, they were having an open house. It was the only place in the Austin area that piqued our interest. We thought about possibly eloping If we didn’t love the venue in person. We wanted a simple space we could make our own. When we visited Prospect House we knew it was where we had to get married. We loved the floor to ceiling windows, the simplicity, the white walls, and the shotgun style shape. We knew it was the place we had to get married.

Wedding planning advice from the couple: Spreadsheets, spreadsheets, spreadsheets! It all gets very overwhelming. Keeping organized and taking your time is so important. Also, don’t let the “day of” stuff ruin your mood…find a good planner who will take care of anything that goes “wrong.” And if something does go wrong, just let it be! All in all its your wedding day, as long as you and your partner are there, everything is great!

We wanted it to feel clean & modern with a tropical vibe. We went to Tulum a few years back and fell in love with it. We brought Tulum to Texas! We aren’t the type of people who really love flowers so we didn’t want flowers on our wedding day. We wanted GREEN everything! The florist brought our tropical / boho chic vibe to life.

Wedding Planner Responsibilities vs. Wedding Coordinator Responsibilities

With event stylists, wedding planners, wedding coordinators, and more, it can be confusing trying to decide which vendor type is the right fit for you and your wedding. First and foremost, we highly recommend hiring a wedding planner. Not only do they help take off some of the stress of planning, but they can also help save you money in the long run. However, we know that a planner is not a fit for everyone. In many instances, a wedding coordinator can be a huge help, too.

Between the two titles, you may be questioning what the responsibilities are of each to help you make an informed decision. That’s why we’re breaking down wedding planner responsibilities versus wedding coordinator responsibilities!

Wedding Coordinator Responsibilities

  • Day-of logistics – A wedding coordinator will help you determine the timeline and vendor flow for your event. On the day of, they will be there to ensure everything runs smoothly.
  • Point person – Your wedding coordinator will be the point person for all vendors. They will ensure everyone has the correct information for the day of and that all contracts are in order and payments are secured.
  • Floor plan creation – Creating a floor plan for your ceremony and reception spaces is no easy feat! Your coordinator can help you work with the venue and determine an appropriate set-up to share with the rest of your vendor team.
  • Expert consultation – Wondering if you should tip your vendors? Do you need to add hours for tear-down or set-up? A wedding coordinator can help with that!

Important to know: Your venue coordinator is not a wedding coordinator. If you’ve gone with a traditional wedding venue, your package likely will come with a venue coordinator. This person will certainly be there to help on the day of your wedding, but their loyalty is to their employer (aka, the venue). Unless your agreement specifies otherwise, the venue coordinator’s main responsibility is to make sure the building doesn’t burn down, and everything runs smoothly.

A wedding coordinator is right for you if…

  • You feel confident managing your own budget.
  • Design is your thing (and you’re good at communicating your wishes).
  • You’re on a tighter budget.

Wedding Planner Responsibilities

  • Budget tracking – Your planner will help you stick to your budget, track expenses, and make sure your vendors are all paid on-time. Even though a hiring a planner can be an added expense, this can be a huge money saver for those who aren’t savvy budgeters!
  • Vendor recommendations – Feeling lost when it comes to searching for all of your vendors? Fear not! An expert planner can help suggest the best-of-the-best vendors
  • Design & styling – Be careful! Not every rockstar wedding planner is also a killer designer. However, most wedding planners can help you make a vision board and know how to put together the best team to pull it off.
  • Logistics – Logistics, logistics, logistics! While this is also a responsibility of a wedding coordinator, planners will also tackle this task with expertise. Since planners are involved from start-to-finish, they’ll likely have a better grasp on all of your vendors needs, so planning the logistics should come with ease.
  • Attends meetings – When it comes to the cake tasting, vendors meetings, and everything in between, your planner will be there to take notes and ask important questions. Bonus: You can be present and focus on making a genuine connection with each member of your team!
  • Transportation coordination – While this wraps into logistics, it’s important to note that your planner helps with this detail. They’ll know best what times to schedule transportation (if needed), as well as the best hotels to coordinate room blocks for.

Types of wedding planners:

  • Wedding Planner and Design Stylist — This type of planner will handle all of the logistics and details, as well as help you pull off a creative design and style for your big day.
  • Traditional Wedding Planner — A tried and true wedding planner will purely focus on all of the logistical details, budget, and making sure all of the systems run accordingly.

A wedding planner is right for you if…

  • You need someone to take the lead.
  • Organization and budgeting isn’t your thing.
  • You’re dreaming of a unique day, but don’t know how to create it yourself.
  • You are planning a destination wedding.
