Wedding Planning 101 – Inside the Custom Design Process for Wedding Invitations with Zenadia Design

Ladies and gents, whether you’re the person who has planned a hundred perfect parties, or the one who has never hosted more than 3 people for dinner, understanding the ins and outs of wedding planning can feel like a daunting task, we know. So to shine a little light on one important (and very fun) part of wedding planning, we asked talented invitation designer Heidi Jimenez from Zenadia Design to walk us through her company’s process for creating custom wedding invitations for a client. From Heidi: To most couples out there, the world of custom invitations is somewhat of a mystery. Why do they cost so much? Why does it take so long? Fear not, your questions are about to be answered. I am so thrilled to be able to share with you the process behind creating a custom invitation at Zenadia Design. Here we’ll highlight one of our recent couples, Lauren and James, for whom we created a highly customized and very personal invitation. As you will see, the custom process takes time and effort, but the end result is something truly spectacular, that fits each individual couple to a tee.

Our first step to creating a creating a custom invitation is to schedule an initial consultation, either in person, via the phone or video conference. During this meeting, we want to get to know you, and hear all about the plans for your big day. I always sit with pen in hand taking notes on anything and everything I might find helpful later in the design process. Sometimes I will even start sketching out ideas as we’re chatting. Pictures of the fashion, flowers, and any inspirational images you are using for the big day are always welcome.

At my first meeting with Lauren and James, I learned they wanted to have a traditional, vintage city-style wedding. Their color palette was a neutral scheme of navy, gold and blush so as not to compete with the interior of the Taj. James had proposed to Lauren in a vineyard in France, which I loved, and they also loved to travel together.

Once the initial consultation is over, we’ll develop estimates for you based on what we chatted about for your wedding invitations. After we agree upon the estimate and design route we’re going to take, a contract and deposit will be needed to secure the time in our schedule, and to initiate the design phase.

The second step to creating a custom invitation is the design portion. I always like to create an inspiration board for each couple I am working with to help me in the design process, and also help them visually see where I am coming from with the designs. Since Lauren and James wanted a vintage style wedding that reflected the feel of Boston, I went with a mood board of vintage images, as well as moody blues and soft pinks.

At this time, we start to develop designs, created from scratch specifically for you. In Lauren and James’ case, there were several key elements I wanted to incorporate into their design to make it 100% their own.

#1 They love to travel, and James proposed to Lauren in a vineyard in France.

#2 They met in college, and this particular school was very special to them.

#3 They wanted a vintage style wedding with a city vibe.

#4 Lauren loves lace, and wanted that incorporated somehow into the invitation.

At Zenadia Design, we design up to 4 different options for you. Upon receiving the designs, you can combine any elements from any of the designs presented to make one design all your own. It’s a creative collaborative process that can take time, but is well worth it in the end. After we work to create the perfect invitation suite you will receive a proof of the selected design, which will need to be signed off to initiate the production phase of the process. The entire design process can take up to 2 months, depending on how many revisions you require.

The third, and final step to creating a custom invitation is the printing and production process. We do all our production in-house, allowing us to oversee production and deliver you with a perfectly crafted work of art. We custom make all our pocket folders and invitations from scratch, which gives you unlimited options, as well as a one of a kind piece. Production takes generally 3-6 weeks, depending on the complexity of your order, if you are ordering addressing services, etc. Once the invitations are completed, we can either mail them directly to you, or we can mail them directly to your guests.

For Lauren and James, their final invitation was a combination of several design elements from all of their designs. Their final invitation featured a custom logo, complete with their initials, wedding date, grape vines (for their engagement in a French vineyard) and the clock tower from their alma mater, with the time set to 4:30, when they were scheduled to be married. Inside the invitation we incorporated lace, and Lauren and James chose to use the drawing of the church where they were to be married, instead of the entire Boston street scape.

After the invitation designs are completed, we can start in on all the additional items for your wedding day to create a cohesive, well-branded look. You might consider table numbers, programs, menus, seating and place cards, thank you cards or cocktail napkins. Time frames for the entire custom process really depend on exactly what it is you are ordering. For save the dates and invitations, I’m working with couples 12-8 months before their wedding date. That said, as soon as you book your venue, book your stationer! The invitation process can take anywhere from 3-4 months too, and you send invitations out roughly 2 months before the wedding (although I’m seeing a 3 month mailing date more often than not now). That means you need to be working with your designer on invitations 5-7 months before your wedding. As I said, it’s a process that takes time, which also explains why custom costs more than ordering out of a book.

There, now don’t you feel more educated in the world of custom invitations? The process of planning a wedding can be stressful, but finding your wedding invitations doesn’t have to be.

Was there a decor theme that ran through your wedding? What was the inspiration for that particular idea and how did it reflect you as a couple? We didn’t have a decor theme as such, but I love anything retro and vintage. I love colour and I love florals and patterns. All those things were seen throughout the wedding.

What were some of the different ways you used decor elements to create the beautiful, cohesive event you were envisioning? Wherever possible we made things ourselves and I think that made everything more original and special. We made all the tablecloths out of white calico and table runners out of hessian, plus we made more than 100 metres of bunting to decorate the venue. Our napkins were made out of mint, pink and yellow seersucker and we alternated the colors on the tables. Each place setting incorporated old vintage plates and tea cups too. We bought lots of colourful roses from a local grower and members from our family arranged them in old crystal vases for the tables. They were so beautiful and such a lovely way to get family members involved!

Our wedding favours were homemade plum jam – we put it in cute little jars with floral fabric around the top, and we tied place cards on to each one with twine. They looked so gorgeous on top of the colored napkins!

 

I collected old jars, decorated them and then turned them into hanging lanterns. We hung them off metal hooks that lined the pathways. They were beautiful during the day and even more beautiful at night, with tealight candles lit inside.

Where did you choose to hold your wedding, and how did the location influence your decor decisions? We had our wedding at Simons family home. They have a beautiful villa on an avocado orchard. It’s where Simon grew up so it was really special for us and his family to be able to have it there. It was the perfect location for the summer garden wedding we wanted!

What were the top three priorities for you in planning your wedding?
– The Band (Our whole family loves to dance!)
– The Venue
– The Food and Catering

What wedding traditions or cultural traditions did you incorporated into your wedding and what did they mean to you? We did not so much include wedding traditions, but tried to incorporate our lifestyle and personality into the details of our big day:

Jarrod and I both grew up in the Lakes Region and originally met competing in our shared passion, skiing. Each of our table names and place cards were a local mountains we have spent time enjoying as a couple.

One of our other favorite pastimes is enjoying a good microbrew. For the wedding, Jarrod spent endless weekends building his own hand crafted bar for our rustic wedding. Each guest received a mason jar (with handle) as a wedding favor. The jars contained their place cards and were used for the self serve draft beer bar.

Were there any places where you broke the rules in your wedding planning? Why and how did you do that? Both of us come from a Catholic upbringing. Our decision to use an ordained minister (who happened to be a close friend of the family) was certainly viewed as a unique and out of the box decision. We love the outdoors and our family, it was important for us to have both on our big day. Including Uncle Bob in our ceremony at such a beautiful venue made the day both memorable and personal.

What was your biggest wedding planning success? Our biggest success was getting both the groom and groomsmen off the lake in time to make it to the ceremony. After losing track of time enjoying the last moments before the wedding out on the boat, the boys ended up getting dressed from the back of the rented suburban!

What was the most important thing that you learned through the wedding planning process and what would you tell other brides-to-be? Enjoy the process. I spent so much time counting down the days until our big day that I almost forgot to enjoy all of the little stuff. After our wedding day was finally said and done, it felt as though I had only blinked and it was all over. It was a more beautiful wedding than I ever could have imagined and an incredible start to a blessed life. But, if I could do it all over, I would sit back and enjoy all of the moments just a bit more.

Where did you choose to hold your NYC wedding, and how did the location influence your decor decisions? We felt the rooftop of the Mondrian chose us. We looked at a lot of venues, but none grabbed us like this one did. The view from Soho was really the decoration. It became more about accenting that and not detracting from it.

What were some of the different ways you used decor elements to create the beautiful, cohesive event you were envisioning? We went for classic simplicity for our decor elements: black tie, white peonies, white cottage roses, green whimsical ivy, white linens, simple place settings with gold candelabras, and coastal Italian food served family style. Place cards doubled as a “make a wish” for the bride and groom, and each place setting was set with a white ceramic wishbone ornament for guest keepsake.

Looking back, do you have a favorite project or successful decor idea from your wedding? The florist made a flower arch for our ceremony – it was a perfect contrast against the city and skyline.

What a treat we have today – some of the prettiest tabletop decor ideas I’ve seen, and all inspired by the one and only style icon, Coco Chanel! Los Angeles based wedding planners Nikki and Madiha Khan of Exquisite Events worked with an ultra-talented team of professionals to bring their vision to life in this inspiration photo shoot, and the photographers at Callaway Gable captured every stunning detail. Read on to learn about the team’s design inspiration and to see a practically endless amount of wedding eye candy!

It all started with Nikkis Chanel obsession. Her love of all things Coco Chanel sparked the inspiration for the Ode to Coco photo shoot, a chic collaboration with Revelry Event Designers, Wildflower Linen and The Hidden Garden Floral Design.

Nikki designed Ode to Coco as a 1920-1930 period tone-on-tone tabletop, with color being present in the flowers only. She chose soft greys, silver and platinum for the base of the design. The table linen was made of a luxurious crushed velvet and Youngsong Martin of Wildflower designed quilted chair covers to look like Chanel bags, complete with crystals and fabric-woven chains.

Matias Doorn of Revelry created a backdrop in various shades of grey with rows of hanging glass globes layered over fabric and two stunning silver globe chandeliers adorned with crystals hung from above. The table was embellished with pieces from Nikkis just-launched handmade silver collection; items like ornate silver chargers with lapis stones and silver peacock napkin rings. The Hidden Garden Floral Design created floral arrangements in pink, lavender and green, arranged in silver vases, which are also part of the new Exquisite Events product line.

The photo shoot was embedded into 1920s-30s Paris with the addition of hosts Zelda and Scott Fitzgerald, who naturally invited their friends to the dinner party. Cole Porter, Gertrude Stein, and Ernest Hemingway all dined at the Ode to Coco table at their assigned seat, next to the elegant place cards designed by Copper Willow Paper Studio.

The table glimmered in soft candlelight and a palatable menu was featured on beautifully simple cards that sat atop silver charger plates. Brian from Callaway Gable Photography captured amazing shots and brought the table to life. We think Zelda and Scott would have been very happy with this elegant and timeless table setting; a perfect ode to Coco Chanel!.

What three adjectives best describe your wedding day?

The Bride, Lauren: Romantic, elegant, timeless

Was there a decor theme that ran through your wedding? What was the inspiration for that particular idea and how did it reflect you as a couple?

Wedding Planner, Alicia Caldecott: Lauren came to A Day in May Event Planning & Design wanting to incorporate tri-metallics (gold, white gold, and rose gold) and a very refreshing blue/green tone – which we aptly dubbed Leland Blue Stone – into her wedding day decor. The stationery was wildly important in creating the romantic, vintage, layered look Lauren wanted, and the lace on her gown added a timeless quality to her vision. The location selection of Ciccone Vineyard also played a part in the design. Lauren and Jon were not looking to have a vineyard theme wedding but rather wanted to play homage to the beautiful location through subtle details.

What were some of the different ways you used decor elements to create the beautiful, cohesive event you were envisioning?

Alicia: The design for Lauren and Jons wedding was inspired by their romance, a timeless sophistication, and a love of all things beautiful. We used every ounce of Ciccones hilltop scenery to create a cohesive event: the ceremony, cocktail hour, dinner, and reception were all held on location, and each was designed with a dominant metallic to highlight Laurens love of the layered hues.

Ceremony: During the ceremony, we wanted all eyes on the bride and groom – but we knew it was important to frame their love story using the altar and aisle. While Lauren and Jon were the focal point, we suspended a crystal chandelier over the altar, lined the aisle with petals, and embellished wrought iron gates with floral and vines.

Cocktails: After the ceremony, the guests flooded the lawn to mingle and navigate through cocktail tables draped in soft ivory fabrics. Guests enjoyed a variety of beverages, including two signature drinks in mint julep cups which included two types of wine bottled on site. Blues, pinks, and coral florals were present in the whimsical table and bar decoration, along with vines and wild garlic.

Dinner: The dining tent was the introduction and backdrop for the after-wedding festivites. At the entrance, guests were greeted by a stacked wine bottle display and wood veneer escort cards – which were foiled in Lauren’s signature tri-metallics and set with Leland Blue calligraphy. The tent itself was draped in rich gold hues, and custom copper wine charms acted as place cards and party favors. On one side of the tent, a mirrored bar and wall displayed the couple’s new monogram, and the west wall opened up to reveal a stunning panoramic view of the vineyard and rolling hills – with a viewing deck to take it all in. The tables, covered in trimetallic and blue linens, were topped with an ornate place-setting and accented with a stunning foil letterpressed menu. Florals and candlelight were abundant: bright pink, fuschia, tangerine, and coral flowers coupled by towering gilded branches with delicately hung candles were the crowning glory to the beauty of the space.

 

Dancing: Guests passed by the centennial barn on the property en route to the ceremony – little did they know, it would house the dance party as the final touch of the beautiful vineyard wedding. After dinner, the bride and groom escorted their guests to their lounge where the band played and played and played! Eggplant sofas and rose gold seating arrangements were flanked by festooned columns and dramatic overhead lighting.

Where did you choose to hold your wedding, and how did the location influence your decor decisions?

Alicia: Lauren and Jon fell in love with the beautiful vistas and privacy of Ciccone Vineyard & Winery, its proximity to Traverse City, as well as Black Star Farms (where the family and wedding party were staying for the weekend). Ciccone was also very flexible in allowing us to create a look specifically for Lauren and Jon; it was a blank canvas for their individual and unique style.

Looking back, do you have a favorite project or successful decor idea from your wedding? Tell us what you loved about it!

The Bride, Lauren: Our custom monogram was something that was really unique and helped to tie everything together. We used various forms of it on the save the date, invitations, custom bar, cocktail napkins, etc. And we now use it in our home!

Was there a decor theme that ran through your wedding? What was the inspiration for that particular idea and how did it reflect you as a couple? We wanted our wedding to be an affair that would be worthy of remembering not just by us, but by all of those a part of it and attending it, after all Carl is a historian we know what is worth remembering.

Where did you choose to hold your wedding, and how did the location influence your decor decisions? We love unique spaces. We wanted a space that people would remember and that people hadn’t really ever been before. We fell in love with the Milwaukee County Historical Center immediately. I remember Carl taking my hand and twirling me right by the staircase on our first tour of the building and saying, I have a feeling this wont be the last time I do this here and it wasn’t! It is perfect place to capture the soul and importance of the city that we grew up in and our interest in history. It has only been open for event rental for a year now, so that helped us not be redundant and fresh.

What was one of your favorite and most meaningful details from the wedding day? I think our favorite detail of the wedding was that each guest held a stone in their hands throughout the entire ceremony. Throughout the ceremony, they were asked to hold a kind thought, wish, or prayer. The rock, would then become a vessel of those kind thoughts. Later in the ceremony, they were asked to greet someone near them, and trade stones, so hopefully each stone has double the love! We now have all 200 stones in a special place in our home. Our plan is to take a stone with us when we know we are going to a special or important place and leave it there. Basically, its our way of spreading the love and paying it forward.

Looking back, do you have a favorite project or successful decor idea from your wedding? Tell us what you loved about it! Being in a family of printers and graphic designers, all of the printing and design work was done in the family.” This included all the invitations that included postcards with historical Wisconsin photos, the place cards which were smaller postcards, also had historical Wisconsin images, the menus, the programs, the save the dates, etc.

Carl and I made homemade caramels for every guest as a favor. Each guest got a chocolate and regular flavored caramel to nibble on between courses. My bridesmaid, Rachel made earrings for all the girls as well. I made large prints for the girls with a passage from one of my favorite authors, Tom Robbins. Carl made homemade sake! He brewed it at home it took a couple tries, but he finally got it! The guys really enjoyed tasting this at brunch on the day of the wedding. He also made each of the guys a pocket square with a cyanotype print on them. The Chuppah, the structure we were married under, was made by my father. I’m sure there are more!

What advice would you give to other couples planning their weddings? Go big or go home! That was our motto. You only do this once and it is really a rad experience to be able to create this one event that represents you as a couple. Don’t cut corners on things that truly matter (music! And photos!). Also, if you start saying Its only one day in our lives together, its not worth the time and effort to rationalize your way out of doing something people will enjoy and appreciate (the caramels!) it might be time to re-evaluate. You are right, it is only one day, but it is the only day, people will take pause to celebrate you, so do it right! Let everyone know how much you appreciate them and this day that comes through in the small details. Trust me!

Purpose: The rehearsal dinner can serve several purposes! Following the actual rehearsal, where the business of fine-tuning and practicing the wedding ceremony took priority, the rehearsal dinner is a time to unwind and enjoy the anticipation of the next day! It also is a “welcome dinner” of sorts for any special out-of-town guests that have been invited. Many of your guests (and even the two families) may be meeting for the first time, so it is a time for introductions, mingling, getting to know each other. Maybe most importantly, the dinner is an opportunity to thank your families and bridal party for supporting you throughout your wedding planning and upcoming marriage.

The Hosts: First things first…who pays for the rehearsal dinner? Traditionally, the groom’s family hosted the dinner as the bride’s family was footing the bill for the wedding. All of the “rules” surrounding wedding planning have definitely loosened over the years, including the rehearsal dinner, but this is still a good place to start. One great benefit to this is that it gives the groom’s family a chance to be part of the planning fun and feel included, even if they aren’t as involved in the wedding.

The Guests: Anyone that is participating in your wedding and was part of the earlier rehearsal is traditionally included on your guest list. Besides your wedding party and immediate family, you may want to invite a larger circle of family members, any out-of-town guests who traveled a long way to be at your wedding, or close friends that are not in your wedding party. The wedding day is busy, so the rehearsal dinner is a great way to get a little more time with loved ones and to connect with people who you don’t get to see as often as you’d like.

Location: The rehearsal dinner is a great opportunity to introduce out-of-town guests to one of your favorite local spots. You could hold your dinner at one of your favorite date restaurants, or just choose a type of cuisine that is a local specialty. Kate and Tony selected the Corson Building, which specializes in farm-to-table dining, so their guests enjoyed the bounty of the season and local farms. The party doesn’t have to be at a restaurant though. A relative’s beautiful home, a favorite park, a boat that offers cruises on a local waterway, or a museum are just a few ideas of alternative venues.

Design: First and foremost, the rehearsal dinner should be unique and different from the wedding and reception. In my own experience in event design, I’ve met with a lot of groom’s families that are planning the rehearsal dinner, and the first thing that they tell me is the color palette of the wedding, or a particular motif that is guiding the design of the wedding. I try to offer some alternatives in this case; the last thing you want your wedding to be is a rerun or look recycled from the night before! This is your chance to use that OTHER color palette that you loved, or bring in the custom calligraphy place cards that were beyond your budget for the larger wedding guest list, or include the moss and acorns that your outdoor-loving fiance had his heart set on!

Toasts: After everyone has dined, the evening often includes toasts to the bride and groom, though it seems to vary by region how elaborate and involved the toasting can be. I’ve attended several rehearsal dinners in the south with 3+ hours of toasting and the opportunity for any guest to speak. (And I have to say, many of them have taken that opportunity! Settle in for a long evening of spontaneity, laughter, and tears!) In the Pacific Northwest, toasts tend to be short and sweet, and are usually just offered up by parents and maybe a few members of the wedding party. The traditional time for the bride and groom to say a thank you to everyone, and distribute any gifts they are giving to their wedding party and parents, is immediately following the toasts.

Favors: Though they are certainly not required, I’ve seen some very thoughtful couples plan a sweet little care package for their guests as they head out the door at the end of the night. A cute bag with a few scones, homemade jam, and a little good morning note make a lovely and easy breakfast for guests staying at hotels or in a hurry to get to scheduled events the next day. You also could do a tiny, delicious truffle for everyone to enjoy as a special “nightcap”, just as luxurious hotels leave a chocolate on the pillow.

Hot New Wedding Ideas from Junebug Planners & Designers!

I could not be more excited about today’s post! I’ve been busy talking with some of our very talented Junebug members – who also happen to be some of the World’s Best Wedding Planners and Designers – about the amazing things they’ve been cooking up recently. I asked them to share one of their favorite wedding ideas or details from 2012, and they did not disappoint! I’m loving this peek at their innovative ideas and massive creativity!

Jubilee Events

We’re really excited about this new decor idea we’re working on for a client getting married in October. They had sent us a picture of little mini ghost chair escort card holders, asking if it was something we would consider as a decor piece for their wedding. While cute, we thought it would be amazing to use their actual ghost chairs as the guests’ place cards by putting custom cut, calligraphy escort cards on large white paper in each chair. I inform my brides of how to use the ‘trends’ sparingly, more as accents here and there. My first rule is to interject her personality in the event and truly have fun along the way. No matter the formality of the wedding, as a planner we should always make it an enjoyable process for our brides. In this wedding you see, it was a black tie event, but the bride had a love for fun-fetti cupcakes. But instead of trendy cupcakes, we disguised the fun-fetti cake beneath a sophisticated design of fondant and sugar flowers. – Christopher Confero

Don and Sandra couldn’t bear the thought of getting married at Willows Lodge without Brubeck and Parker, so they had adorable life sized cut-outs made. The cardboard pups greeted the guests, who did a double take when they saw them waiting at the entrance. Everyone enjoyed the cute little furballs being there in spirit! – Lisa Chambers

Annena & Co.

I absolutely loved the grand rehearsal dinner that we designed at the Culinary Institute of America at Greystone in the Napa Valley –  with a bold yet sophisticated citrus color scheme and mid-century modern vibe. But my favorite element was after guests entered the expansive Barrel Room through a shimmering saffron draped entrance into the cocktail area. We brought in a striking six foot long chandelier created from wine glasses that hung above the bar. It looked like a giant sparkling cluster of grapes! – Annena Sorenson

Who doesn’t love scrabble? We wanted to incorporate scrabble words throughout dinner and cocktail hour. Instead of just setting up words, we placed all the extra letters & trays in vintage drawers around the room. Guests loved playing and creating their own phrases about the evening. It was a great way to carry theme through the room and giving the guests something fun to do. What a huge hit!

I love that more and more brides are being adventurous with color and pattern.  White, pastels and neutral tones have long been considered the quintessential wedding look, but I see the increased use of bright colors and bold patterns as an indicator that brides are feeling more empowered to truly make their wedding something that is meaningful to them and a reflection of their own unique style. – Elizabeth Duncan

Greatest Expectations Special Events & Weddings, Inc.

My favorite little detail from this year has to be my bee-hive inspired wedding. We used the bee hive pattern as design inspiration for all printed materials, but even more fun were the place cards and favors. The place cards were flags placed on 6″ honey dippers that were displayed in three white vintage drawers that we filled with sugar and crystals. The guest favor was organic honey from a local farm. – Heather Lynne Vickery
